Position Overview

We are seeking to hire an experienced Executive Administrator to join our Team! This position is responsible for completing a variety of administrative tasks and special projects revolving around all parts of business operations support. It is an essential role that keeps the team working efficiently. Executive Administrator will stay in constant communication with corporate and community employees. Also, as an Executive Administrator, they are responsible for providing executive support and reporting directly to the Managing Director, Strategy and Research.

This role will be 100% onsite in our Austin corporate office.

What You Will Do

Corporate Event Planning

  • Plan and Coordinate social and philanthropic events to enhance positive CORE culture
  • Coordinate and assist with corporate travel arrangements

Strategy & Research

  • Manage Business Licenses for all Communities, including applications, renewals and the setup of new developments
  • Conduct Market Surveys
  • Assist with Account Management and payment submission for BMI and other media licensing
  • Research and Contribute to Friday Industry Update

Acquisitions & Transitions

  • Manage the processing and submitting of invoices to AP for Lariat Realty Advisors (Real Estate Licensing)
  • Processing and submitting utility invoices related to new development properties handled by Acquisitions and Transitions

Corporate Engineering

  • Handle expense processing for the Managing Director of Engineering
  • Manage uniform orders for the team

Onboarding

  • Manage the Austin One Core Resource Page
  • Assist HR with Onboarding Processes, including hosting New Hire Orientations for incoming hires and serving as a source of information for all employees
  • Order Business Cards when requested with Hiring Manager approval

Accounting

  • Process invoices and handle corporate and personal expenses
  • Submit expense reports as requested

Office

  • Plan and track corporate office budgets for events, supplies and groceries
  • Manage incoming and outgoing mail including all Fedex activity
  • Purchase inventory of supplies
  • Coordinate with Landlord for all facility issues
  • Coordinate meeting logistics including setup and catering
  • Ensure office organization and cleanliness and manage access control
  • Manage Office Hoteling Software to optimize workspace usage

Must be able to complete all physical requirements of this role with or without a reasonable accommodation

Complete additional projects as assigned

Ideally, you'll have

  • Bachelor’s Degree
  • Excellent Oral, Written, and Interpersonal Communication Skills
  • Strong Organizational Skills
  • Proficient in Google Workspace

You'll crush it if you have experience with:

  • Taking initiative
  • Demonstrating decision-making, analytical and problem-solving skills
  • Planning and organizing meetings and events
  • Meeting deadlines while being detail-oriented
