Virginia Tech is Hiring an Administrative Manager, School of Architecture Near Blacksburg, VA

Job DescriptionThe Administrative Manager for the School of Architecture provides administrative and operational support to the director and the school community in a professional, timely, and proactive manner. This position acts as a liaison to other university offices and serves as the main contact for the school, responding to inquiries from faculty, staff, students, and visitors professionally and courteously.
The position also serves as a confidential assistant to the director of the School of Architecture. It assists the director and program chairs in an advisory and leadership capacity, taking the initiative to ensure projects stay on track and deadlines are met. The manager anticipates leadership needs, understands the director's strategic priorities, proactively solves problems related to personnel, facilities, and other resources, and independently handles such issues as necessary. Additionally, the manager disseminates internal communications and engages with university and external partners as needed. They collaborate with school staff to support communications, manage the staff leave calendar to ensure office coverage, and plan and coordinate administrative support throughout the school to maximize service to students and faculty.
The position plays a central role in coordinating academic and administrative calendars, including the Timetable of Classes. It coordinates with the director and program chairs on faculty and student travel, including travel approval forms, and provides administrative support and coordination for invited guests, lecturers, and visiting scholars. As the primary liaison for the director to all constituents, the Administrative Manager prioritizes work, keeps the director informed of timely and important matters, and prepares correspondence. The manager coordinates, updates, and assists with hiring at all levels, working closely with search committee chairs and committees to advise and help implement searches.
The Administrative Manager also prepares and finalizes Promotion and Tenure documents and assists the director and faculty chairs with the preparation, management, and implementation of annual faculty reviews. The position supports academic programming and other administrative duties, completing all tasks in a confidential and accurate manner.
Required Qualifications
  • Associate's degree or equivalent experience with demonstrated skills in customer service
  • Experience providing administrative support in a professional office or academic setting including increased levels of responsibility
  • Experience in relationship building including all forms of communication and presentation with an emphasis on strong written and verbal skills
  • Strong proficiency in using and learning multiple software programs simultaneously such as MS Office programs, and G-Suite programs.
Preferred Qualifications
  • Knowledge and experience with ERP software such as Banner or others.
  • Ability to work independently and interpret as well as apply university and/or departmental policies and procedures

Additional InformationPosition will primarily be onsite with the opportunity for occasional remote work following a fully onsite onboarding period to support successful training and transition.
