Village of Western Springs is Hiring an Account Clerk Near Western, IL

The Village of Western Springs is accepting applications to fill a Principal Account Clerk position vacancy in the Finance Department.

Key Responsibilities

The position of Principal Account Clerk is responsible for performing accounting functions, primarily dealing with accounts payable. Work performed is complex and technical in which proper accounting principles must be applied. This position reviews all mailed and emailed invoices handling accounts payable for the Village. The incumbent also provides all bookkeeping services for other agencies within the Village (approximately 3 to 5 hours per week). The Principal Account Clerk assists the Director of Finance with the annual audit. Other responsibilities include, but are not limited to the following:

  • Process accounts payable from receipt of invoice through payment of invoice. Maintain vendor information and proper reporting of payments required by the IRS and other agencies. Perform weekly check run in accordance with the Village’s purchasing policies and procedures.
  • Work with external vendors to resolve issues and problems with invoices, time records, claims, etc.
  • Provide collection and distribution services for license renewal including business compliance certificates, animal registration, vehicle registration and commuter parking application. Maintain and update record on current Village software for vehicle license and pet licenses.
  • Provide internal/external customer service by greeting and assisting customers, resolving concerns in-person, via phone or e-mail, educating customers on Village policies and procedures. Assistance with the duties of receptionist, as needed.
  • Provide financial accounting services to other agencies, which include payroll and financial reporting.
  • Prepare the annual Treasurers Report.

Minimum Qualifications

Education: Minimum high school diploma or its equivalent with emphasis in math or related coursework preferred. Associate or Bachelor’s degree in accounting or related is strongly preferred.

Experience: At leasttwo (2) tofive (5) years of clerical experience in bookkeeping, accounting, or financial management or some equivalent level of training that demonstrates proficiency and familiarity with fund accounting or bookkeeping principles. Experience with Microsoft Excel is needed.

Physical Demands/Work Conditions

While performing the duties of this job the employee will continuously sit, type, and work at a computer for long periods of time. The employee will occasionally lift, carry, or push ten pounds or more, bend, stoop, kneel, stand, squat. Frequent verbal communication by email, over the telephone, and in-person is required. Work is performed primarily in an office setting, where the noise level is quiet to moderate.

Compensation and Benefits

The full salary range for this position is $46,656.00 – $69,984.00. Starting pay rate is dependent upon qualifications and experience. Medical, dental, life insurance, paid time off, and defined pension through IMRF are included with this position.
