Summary

Provide Accounts Payable Dept with general office support, primarily working the AP e-mail inbox, answer vendor calls, and a variety of clerical activities. The Administrative Assistant will be responsible for e-mail and mail distribution, flow of correspondence, order office supplies, as well as additional clerical duties as needed. Must be very accessible and reliable.

Essential Duties and Responsibilities

  • Works in a fast-paced, high-volume environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Opens and distributes mail and e-mail and determines level of priority. 
  • Initiates contact with Accounts Payable staff to ensure accurate and timely e-mail and mail distribution. 
  • Requires excellent verbal and written communications and communicates effectively with public, customers, co-workers and executive staff in a professional and courteous manner both orally and in writing.
  • Provide callers with general information requested such as AP email address, W-9, company website or mailing address. 
  • Take messages and provide messages to appropriate AP staff.
  • Identifies problems and anticipates solutions.
  • Able to work with minimum supervision, capable of self-checking work.
  • Orders, receives, stocks and distributes office supplies.

Required Skills and Qualifications

Must be available and accessible during the "core" work hours of 8:00 AM to 5:00 PM, Monday through Friday to successfully perform the job. 

Qualifications include:

  • High school diploma
  • Specialized knowledge in MS Outlook
  • Highly organized and detail-oriented
  • Able to handle high volume of email
  • Reliable with a strong work ethic

Preferred Skills and Qualifications

Two years of related experience. Knowledge of Microsoft Office word, excel and outlook. 

Physical Requirements

This job requires long periods of sitting in front of a computer on a regular basis, doing repetitive tasks with few breaks.
