Overview

The People OperationsSpecialist (Benefits & Compensation)will be responsible for supporting the day-to-day administration of the organization’s group benefits program including but not limited to group health, dental, vision, short- and long-term disability, life insurance, flexible/commuter spending, 401(k), and mental well-being programs. They will serve as the primary point of contact for all benefit-related inquiries providing superior customer service to all stakeholders while serving a key role in providing progressive, best-in-class programs for employees.

What you'll do:

  • Serve as a member of the People Operations team and collaborate with the broader People Team to create meaningful employee experiences while serving as the primary point of contact for people operations inquiries related to benefits and total rewards 
  • Communicate with all existing, new and acquired employees in the organization regarding benefit eligibility and ensure accurate enrollment
  • Process new and mid-year (life event) enrollments and changes via ADP and/or other applicable benefit portals; follow-up and educate employee as needed
  • Ensure benefit changes are processed in time for payroll and communicated clearly to payroll department
  • Administer company-wide benefit programs, investigate new benefit programs, seek to improve on existing benefit programs and foster a proactive, informative culture that promotes the organization’s comprehensive benefits offerings
  • Provide baseline support, maintain compliance/regulatory status and participate in ad hoc projects and research
  • Track processes, initiate follow up and escalate scenarios or questions as needed
  • Assist in maintaining SOPs for People Team
  • Assist with document preparation and reports as needed for people related programs
  • Assist with drafting communications/reminders and maintain a communications calendar regarding programs (i.e. benefits programs and features, wellness opportunities, mental well-being support, etc.)
  • Support efforts related to diversity, equity and inclusion programming 
  • Serve as a liaison between third party vendors and the employee; follow up as needed
  • Reconcile monthly benefit bills and coordinate with accounts payable to ensure they are paid in accordance with payment terms; ensure discrepancies are resolved on the next billing cycle
  • Process biweekly uploads to ensure savings/spending accounts and retirement plans are funded timely
  • Manage the transfer of data between ADP and third-party vendors as it relates to benefit eligibility and enrollment information
  • Support large scale employee programs, initiatives and events
  • Respond to inquiries submitted to centralized email inbox and provide timely response; share themes and trends that may warrant communication or training on people related policies, programs, or announcements
  • Assist with other strategic, people-related special projects or initiatives as needed
  • Maintain benefit microsite (centralized resource of all benefit related information) as well as company intranet
  • Participate in benefits planning sessions, educational opportunities and broker meetings
  • Project manage annual Open Enrollment including but not limited to preparation, set up and design within ADP, testing, employee meetings, processing of enrollments, communication amongst carriers, and more
  • Support various benefit, wellness, and compensation related programs and projects as directed by the Director - People Operations (i.e. new benefit campaigns, wellness activities, financial planning seminars, salary surveys, etc.)
  • Maintain knowledge of industry-leading benefits and wellness programs, share knowledge with colleagues and proactively understand regulatory environment and applicability to company plans and programs 

Who you are:

  • Bachelor’s degree required in Human Resources, Business, or another adjacent field
  • Minimum 5 (five) years of HR (benefits) experience working in a medium to large scale business
  • Strong internal client/customer service orientation; must have a keen interest in helping others and delivering best in class client service experience to all who come into contact with the function
  • Ability to explain and navigate employees through often complex matters related to benefits 
  • Strong follow up skills: ability to inquire status, offer assistance and seek guidance
  • Demonstrated interest in learning in the people/human resources field
  • Must be highly adaptable, open to new ideas and solution oriented
