Position Summary and Responsibilities
This position provides administrative and operational support to the Leadership Gifts program within the Office of Advancement, reports to the Director of Leadership Giving, and provides assistance to a frontline fundraising team of leadership gift officers. Our team is fun, fast-paced, supportive, flexible and professional.
The ideal candidate will have at least three to five years of administrative experience in a fast-paced environment and must be comfortable learning, using, and training others in the use of multiple technologies on a daily basis. They will be comfortable juggling multiple and competing priorities, while ensuring that deadlines are met and materials are accurate. The ideal candidate will be curious and motivated to contribute to team discussions beyond their daily tasks. This position may also supervise and delegate work to student interns.
Strong preference will be given to candidates who are proficient with CRM databases, Microsoft Office products (Word, Excel, and PowerPoint), and Google products (Documents, Forms, and Spreadsheets in particular). This position also deploys additional technologies specific to Vassar College's Office of Advancement.
This position is scheduled to work full-time (37.5 hours/week) for the full year. Overtime will be required for Reunion and select special events and programs.
Responsibilities:
  • Develop proficiency working in thankQ, our CRM (Customer Relationship Management) database to enter correspondence and trip reports, access information, run reports and prospect lists, and maintain accurate records.
  • Support the Leadership Giving team with special events both on and off-campus by running and maintaining invitation lists, setting up mail merges, creating labels, tracking responses, nametags, and other logistical support associated with donor events and programs.
  • Provide telephone and email support to alumnae/i donors and high-level volunteers, including responding to inquiries about events and programs, gift receipts, and reports.
  • Manage travel arrangements for the Director with a thorough attention to detail
  • Process travel and expense reports, and reconcile corporate and purchasing credit card accounts, through the Vassar Workday system.
  • Organize meetings between administrators and external constituents. Attend these meetings, as requested; take thorough and accurate notes, and prepare those notes for distribution.
  • Prepare and process various forms, documents, and reports for departmental use.
  • Assist with calendar management for the Director, and for gift officers, when applicable.
  • Attend and assist with special on-campus programs such as Reunion and select special events.
  • Other duties as assigned.
Qualifications
  • Three to five years of progressively responsible administrative support experience.
  • Prior work experience in sales or events management, or a higher education setting is preferred.
  • Excellent written and verbal communication skills.
  • Excellent computer skills, including Microsoft Word, Excel, Google Suite, database management, and mail merges.
  • Ability to interact effectively and professionally with a diverse community of potential donors, volunteers, and staff.
  • Strong time management and organizational skills, attention to detail, and the ability to maintain confidentiality.
  • Ability to work both independently and as a team player, with a professional, problem-solving approach and good judgment.
  • Associates degree (or higher) preferred.
