Position Summary and Responsibilities
The Administrative Assistant (Floater) position will provide support to an administrative or academic department to fill vacancies created by leaves of absence, vacation, or vacant positions that are posted. The Floater will receive out of class pay if providing temporary coverage for an Office Specialist-L position.
This position will be managed by a member of the HR team but will report to various assigned locations.
Responsibilities:
* Provide telephone and email support and respond to inquiries.
* Track, maintain and reconcile budgets associated with the department/program.
* Maintain inventory of office supplies, order as needed and perform general office machinery maintenance.
* Manage department calendars; maintain schedules for use of classrooms (as applicable); schedule department meetings; take notes at meetings.
* Help coordinate arrangements for department/program events, which may include room reservations, catering requests, and adding information to calendars.
* Maintain department files.
* Manage, supervise, coordinate schedules and approve time sheets for student assistants.
* Other duties as assigned.
Qualifications
* Two to four years of administrative support experience and/or training.
* Strong communication, telephone and organizational skills.
* Strong computer skills are required including proficiency with both Mac and PC platform environments, Microsoft Word, Microsoft Excel, Google's suite of tools (Gmail, calendar, drive, docs, etc.), Workday (or comparable database systems), and a variety of email and internet browsers. Must be open to learning new software as needed.
* Must exercise discretion and maintain confidentiality.
* Maintain a professional problem-solving demeanor during sometimes stressful situations.
* Ability to work independently and with other departments on campus.
