Job Summary:

We are seeking a detail-oriented and highly organized Part-time Office Manager to join our team. The Part-time Office Manager will play a crucial role in ensuring the smooth functioning of various office and project tasks at Strategic Fence & Wall. 

Key Responsibilities :

  • Scheduling and Coordination: Assist in managing project schedules, coordinating with customers and suppliers, and help ensure timely completion of projects.
  • Customer Representative: Handle customer inquiries, provide project updates, and address any concerns or issues related to ongoing or completed projects.
  • Document Management: Maintain organized records of contracts, permits, project plans, employee records and other essential documents in a digital, centralized repository.
  • Employee Timekeeping: Manage employee timesheets, ensuring accurate tracking of work hours for payroll purposes and proper record keeping, both digitally and (at times) manually.
  • Safety and Compliance: Assist in ensuring our workplace is safe and in compliance with applicable laws and regulations.
  • Office Supplies Management: Order and restock office supplies as needed to maintain a functional office environment.
  • Data Entry: Enter project-related data, customer information, and other records into the company's systems.
  • New Employee Onboarding: Facilitate the collection of necessary paperwork and documentation for new employee onboarding, and move it to the centralized repository.
  • Mail and Customer Checks: Receive and sort incoming mail, packages, and customer checks. Securely manage timely deposit of customer checks into the company's bank accounts.
  • Other Admin Duties: Provide administrative support and take on various ad-hoc tasks to assist with day-to-day operations and enhance overall efficiency.

Preferred Requirements:

  • High school diploma or equivalent; additional relevant certifications or coursework is a plus.
  • A strong bias for action, with high attention to detail.
  • Proven experience in logistics, administrative roles, or similar positions.
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
  • Excellent communication skills, both verbal and written.
  • Ability to work collaboratively with cross-functional teams.
  • Proficient in using Google Workspace, Quickbooks Online, and Hubspot.
  • Demonstrated ability and a curiosity to learn software applications to make office tasks and project coordination more efficient.
