Office Manager
Our client is seeking an Office Manager to join their CPA firm. The office manager is responsible for maintaining the administrative activities of a CPA firm and reporting to the managing partner. Generally, supervises or conducts the accounting processing function and exercises direct, day-to-day supervision over the administrative support functions of the firm. The position assists in employment recruiting activities, personnel records and software, onboarding new employees to company software policies, and engages in business development activities of the firm as assigned.
This role is onsite in the Camas, Washington area.
Office Manager Responsibilities
General Administration and Human Resources:
  • Standardize office procedures, systems, forms, and equipment.
  • Maintain adequate office supplies.
  • Processing of client work.
  • Monitors client due dates and reviews of all client deliverables and deadlines
  • Administrative review of all new client and project setups.
  • Manages all tax return extensions and electronic filing of tax returns.
  • Helps coordinate monthly billings and statements.
  • Maintains quality of database with correct addresses and phone numbers of clients.
  • Serve as an intermediary between the firm personnel and our IT provider for software issues and direct accordingly.
  • Manages administrative staff.
  • Make recommendations and initiate changes for learning the firm’s software programs and updates.
  • Review annually all administrative processes related to software and tasks by maintaining a central file.
  • Coordinate and arrange staff meetings and firm social events.
  • Keeps firm administrative manuals and files current and enforces record retention policy.
  • Plan employee special functions and events.
  • Orientation for all new employees (processes, forms, and personnel).
  • Train new administrative hires.
  • Assist in annual recruiting efforts and coordination.
  • Maintain personnel files as assigned and knowledge of personnel software.
Supervisory Responsibility:
  • The position supervises administrative assistant.
  • Responsibilities include providing daily work direction and approving absences or overtime.
Office Manager Qualifications
  • Bachelor’s and/or associate degree preferred in a related field of study and five to eight years experience in business administration including at least four years in a professional services environment. Proven experience working with executive-level leadership.
Skills:
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or government regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
  • Strong interpersonal, public relations, and leadership skills.
  • Self-confident, open-minded, and positive outlook.
  • Possesses keen business sense.
  • Ability to exercise sound judgment and decision-making.
  • Solid problem-solving and teamwork ability.
  • Strong oral and written communication and presentation skills.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
  • Proficiency in Microsoft Windows environment, Microsoft Office applications, the Internet, and personal computers.
  • Decision-making, creativity, teamwork, customer service, and negotiation skills in addition to the ability to read, write, speak, and understand English are continuously required.
  • Selling skills and independent judgment or action are frequently required.
  • Position continuously requires keyboarding, repetitive motions of hands/wrists, talking, hearing, grasping, reaching, handling, and feeling.
  • Frequently must sit, stand, and walk.
  • Must be able to lift, push, pull, and carry up to 10 pounds regularly and occasionally lift and/or move up to 50 pounds.
  • Acts as a role model for awesome service to clients and team members.
  • Acts as a role model for timeliness and punctuality.
Job Conditions:
  • Job occurs in a normal business office setting during daytime hours and includes extensive close/computer work.
  • Extended hours, evening meetings, and occasional travel may be required.
Salary: $55,000-$80,000/year. (DOE)Benefits
