Description

JOB TITLE: Accounts Payable 

Reports To: Accounting Manager, Lead & COO

 Summary: This position is primarily responsible for answering questions relating to imbalances between inventory and invoices, monthly vendor statements distribution to staff, weekly unclaimed receivers sent to staff, and ad hoc assignments by management.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Core duties and responsibilities include the following. Other duties may be assigned.

  • Post business transactions, process invoices, verify financial data for use in maintaining accounts payable records
  • Provide other clerical support necessary to pay the obligations of the organization
  • Maintain meticulous records of outstanding payables
  • Ensure the accuracy of an organization’s financial documents for payment, auditing and tax purposes
  • Protect businesses against unintentional overpayment
  • Practice effective monitoring to ensure payments are made to vendors in a timely manner
  • Clarify any questionable invoice items, prices or receiving signatures
  • Assemble and review invoices to be completed for payment
  • Maintain copies of vouchers, invoices or correspondence necessary for files
  • Type periodic reports and other records
  • Obtain proper information and/or data regarding invoice payments
  • Check vendor files for any previous payments and assign voucher numbers
  • Prepare vouchers listing invoice number, date, vendor address, item description, amounts and coding per accounting policies and procedures
  • Reconcile bank statements
  • Input daily bookkeeping and record keeping
  • Verify invoices against purchase orders and ensure goods or services were received before issuing payment to vendors

Requirements

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION AND/OR EXPERIENCE:

One year certificate from college or technical school; or one to three years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

COMPUTER SKILLS:

To perform this job successfully, an individual should have knowledge of; Accounting Software (Sage); Spreadsheet Software (Excel); Inventory Software; Word Processing Software (Word); Electronic Mail Software (Outlook); Presentation Software (PowerPoint); Publisher Software; and Excel with pivot tables.
