POSITION SUMMARY

The Sr. Executive Coordinator to the Chief Human Resources Officer is a role that embodies professionalism, discretion, confidentiality, and collaboration. It’s a highly responsible and highly rewarding—supportive role; one that demands a mastery of time management, strong organizational skills, good judgment in a variety of situations, balance of multiple priorities, and strong written and verbal communication. 

In this role, you will work on assignments that are complex in nature where independent action and a high degree of initiative is required in resolving problems and developing recommendations. Additional responsibilities and opportunities exist to support and lead critical special projects independently or with other HR Leadership Team therefore prior HR experience is required

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • HR Administration and Support: Manage daily administrative tasks to support the CHRO, including calendar management, travel, expense reporting, and the preparation of confidential correspondence. Organize and compile documents for meetings, ensuring that complex and detailed agendas are set and followed. 
  • Project Coordination and Strategic Initiatives: Coordinate and manage HR projects, staff retreats, and programs, liaising with HR leaders, other executives, and their coordinators. Assume responsibility for the planning and execution of departmental and HR-wide meetings, managing all aspects of venue preparation, administrative support, logistics, and lodging.
  • Recruitment and Onboarding Support : Support the recruitment process by coordinating interviews, initiating assessments/screenings/background checks, and managing candidate correspondence. Assist with the new hire process, including preparing welcome letters, sending out new hire paperwork, inputting new hires into the system, and coordinating employee orientation sessions. 
  • Operational Efficiency and Support : Conduct HR operations tasks such as data entry, invoice reconciliation, report generation, and management of the procurement and vendor process. Assist with prioritizing CHRO’s conflicting needs, handling tasks expeditiously and proactively to ensure successful project completion under tight deadlines. 
  • Communication and Employee Engagement : Act as a communication bridge between the CHRO’s office and internal departments as well as external stakeholders, maintaining credibility, trust, and support. Contribute to the development and management of critical organization -wide communications and culture initiatives, ensuring that colleagues are informed, engaged, and motivated. Maintain and manage departmental SharePoint sites to ensure that all digital resources are organized and accessible. 
  • Event Planning and Execution : Plan and execute company-wide employee events, creating memorable experiences through carefully curated prizes, thoughtful vendor selections, and engaging activities. Assist the CHRO with team recognition and morale-boosting activities, helping to plan and execute large-scale events. 
  • Decision Support and Leadership Assistance : Assist the CHRO in managing their schedule and information flow, ensuring they are well-prepared and available for key interactions both internally and externally and keeping them informed of ongoing activities across the organization and assist in facilitating strategic decision-making processes.
  • Performs other related duties as assigned. 

QUALIFICATIONS

EDUCATION and/or EXPERIENCE 

  • 6-8 years of experience supporting C-level executives & Human Resources experience. 
  • Skilled in handling complex situations and making strategic decisions. 
  • Embraces diversity, equity, inclusion and belonging while demonstrating partnership and teamwork. 
  • Curious and resourceful with an entrepreneurial spirit. 
  • Adaptable to various roles and responsibilities. 
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel and SharePoint). 
  • Highly organized with the ability to reprioritize at a moment’s notice. 
  • Strong attention to detail and accuracy with an emphasis on quality. 
  • Sophistication and maturity to deal directly with internal and external stakeholders.
  • Demonstrated ability to protect and manage confidential information appropriately. 
  • Outstanding written and verbal communication skills
  • Initiative-taker with the ability to work independently. 

WORK LOCATION

Hybrid Washington, DC May also involve travel to some locations within the company’s region of operations.. 

COMPENSATION 

$93,986 - $112,783
