Duties

Duties may include, but are not limited to the following:

  • Manages and performs various administrative duties including: property management, space utilization, requisitioning and supply management, time and attendance, correspondence, receives visitors and telephone calls, handles work orders, schedules appointments and conferences.
  • Collects, compiles and/or tracks statistical information and prepares data/reports on administrative and technical program components.
  • Receives and processes documents and reports in accordance with established procedures.
  • Organizes and maintains equipment data.
  • Conducts inventories of office equipment and property and coordinates parts inventories of project property.
  • Serves as purchase card holder and monitors and advises on procurement of supplies, materials, equipment and services.
  • Composes letters, memoranda, and responses to non-technical inquiries.
  • Maintains the Engineering Service scheduling calendar, scheduling appointment and meetings on issues of importance, reminding supervisors of appointments and briefing them on matters to be considered before the meetings.
  • Serves as Records Coordinator for the Biomed/Safety or Project/Maintenance Branches.
  • Serves as the timekeeper and performs all time and attendance and related duties for the Engineering staff.
  • Performs other related duties as assigned.
Work Schedule: Monday-Friday, 8:00am-4:30pm

Qualifications

TO QUALIFY FOR THIS POSITION AT THE GS-05 LEVEL YOU MUST MEET THE FOLLOWING CRITERIA:
SPECIALIZED EXPERIENCE: Have at least one (1) year of specialized experience equivalent to the next lower grade level (GS-04) in Federal Service that has equipped you with the knowledge, skills, and abilities necessary to perform the duties of an Administrative Support Assistant, GS-05. Specialized experience includes reviewing incoming and outgoing suspense items and correspondence; utilizing software products to produce a wide variety of documents, spreadsheets and reports; making purchases for supplies and other items; and performing timekeeper duties. NOTE: Your experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

EDUCATION: have successfully completed four (4) years above high school in any field which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained at an accredited business, secretarial or technical school, junior college, college or university NOTE: Transcripts must be submitted with your application materials. Education cannot be credited without documentation. -OR-
COMBINATION: Have an equivalent combination of successfully completed post-high school education (beyond the second year) and specialized experience, as described above, which meet the total qualification requirements for this grade level. This education must have been obtained at an accredited business, secretarial or technical school, junior college, college or university. IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: The work is mostly sedentary. However, may require walking; bending; standing; carrying of light items such as papers, books, small parts; or driving an automobile, etc. throughout the medical center (interior and exterior) and visitation to construction sites.
