US National Nuclear Security Administration is Hiring a Program Specialist Near Washington, DC

Duties

As a Program Specialist, you will:

  • Plan and execute essential meetings, conferences, seminars, demonstrations, symposia, tours, and formal visits for senior NNSA leadership. Analyze and interpret requirements, secure essential data from sponsoring segment as available. Coordinate requests made by segments of other agencies. Prepare and coordinate agenda and itineraries.
  • Has the primary responsibility involving planning, coordinating, and delivering events. Coordinate and execute conferences and special events as requested by senior NNSA officials. Plan agenda, coordinate room requirement and setup, determine special requirements and supervise setup of the facility. Ensure smooth execution of all planned events.
  • Aid the relevant community on all aspects of protocol.
  • Maintain close liaison with DOE and NNSA elements, foreign embassies and/or other agencies concerned to effect proper coordination of visits by dignitaries and to obtain pertinent recognitions, equivalent U.S. rank, pronunciation of names, correct conversational forms of and address, and any special desires of visitors, etc. Greet all VIPs to make them feel welcome and respected, making every effort to minimize any opportunities for embarrassment or offense.
  • Arrange for linguists, as required, for foreign visitors. Monitor the entire visit and makes on-the spot changes without interruption or inconvenience to the visitor.
  • Validate propriety of social events and use of funds for visiting VIP's.
  • Review office procedures and make recommendations to execute standard administrative procedures more efficiently.

Qualifications

SPECIALIZED EXPERIENCE REQUIREMENTS
A qualified candidate's online application and resume must demonstrate at least one year of specialized experience equivalent to the next lower NNSA Demonstration Project pay band or GS grade level in the Federal service, i.e., NQ-02 or GS-12. Specialized experience for this position is defined as: (MUST 3 OF THE 4 SPECIALIZED EXPERIENCES) 1) Utilize office automation systems and various software packages (incl. MS Teams, MS Office Suite, Adobe Suite, Video Teleconferencing etc.); 2) Perform a variety of clerical and administrative tasks such as maintaining office files, preparing briefing products, files, and other information resources on both unclassified and classified networks; 3) Coordinate travel arrangements for senior level officials, and 4) Utilize discretion and knowledge of executive level protocol and procedures.

Examples of Specialized Experience:
1. Planning and executing essential meetings, conferences, seminars, demonstrations, symposia, tours, and formal visits for senior leadership. Analyzing and interpreting requirements, securing essential data from sponsoring segment as available. Preparing and coordinating agenda and itineraries.
2. Formalizing plans and confirming that all details and arrangements are made for accommodation of guests. Securing the services for the facilities, enlisting the cooperation of personnel, and providing services for the unexpected arrival of dignitaries.
3. Maintaining close liaison with organizational elements, foreign embassies and/or other agencies concerned to effect proper coordination of visits by dignitaries and to obtain pertinent recognitions, equivalent U.S. rank, pronunciation of names, correct conversational forms of and address, and any special desires of visitors, etc.
4. Coordinating and executing conferences and special events as requested by senior officials. Ensuring smooth execution of all planned events.

"Experience" refers to paid and unpaid experience. Examples of qualifying unpaid experience may include: volunteer work done through National Service programs (such as Peace Corps and AmeriCorps); as well as work for other community-based philanthropic and social organizations. Volunteer work helps build critical competencies, knowledge, and skills; and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
CTAP/ICTAP candidates: To be considered "well qualified" you must meet all of the requirements as described in this section. If you are eligible for career transition assistance plans such as ICTAP or CTAP, you must meet the definition of "well qualified" which is defined as having a score of 85 or better.
