The Engineering HR Shared Services (HRSS) Department in The Grainger College of Engineering seeks applicants for a HR Service Representative position. This position is responsible for providing human resources support for Academic Professional and Civil Service employees in units served by the Grainger College of Engineering HR Shared Services (HRSS).


Duties and Responsibilities:

Search Support:

  • Administer hiring activity and search compliance for Academic Professional and Civil Service (exempt and non-exempt) positions, including but not limited to: drafting job descriptions and job announcements, coordinating with hiring managers and search committees, and utilizing HRIS applications to secure approvals.
  • Prepare recruitment plans and advertise positions, conduct search committee trainings, prepare search process documentation, coordinate interview question lists/outlines, and coordinate or conduct reference checks.

Employee Onboarding and Separations:

  • Conduct new employee onboarding activities, including but not limited to background and sexual misconduct check submissions, employee new hire checklist, I-9 & e-Verify completion, Human Resources Front End (HRFE) transaction processing.
  • Conduct employee separation activities, including but not limited to obtaining resignation letters, coordinating exit checklists and process, processing leave payouts, etc.

Visa Processing:

  • Assemble and assist with the collection of visa request documentation which includes working closely with the International Student and Scholar Services (ISSS) office.

HR Processing/Administration:

  • Process various appointments and payroll-related changes for job records, changes, promotions, etc. throughout the employee life cycle.
  • Assemble and assist with the process/collection of annual performance reviews, job description maintenance, etc.
  • Maintain overall files/systems that contain confidential and sensitive information, i.e. electronic personnel and search files.

Perform other HR-related duties as assigned.


Minimum Qualifications:

  • High school graduation or equivalent

• Any one or any combination totaling five (5) years (60 months) from the following categories:

  • College course work in business, finance, accounting or a related field:
    60 semester hours or an Associate's degree equals one (1) year (12 months)
    90 semester hours equals two (2) years (24 months)
    120 semester hours or a Bachelor's degree equals three (3) years (36 months)
    Master's degree or higher equals four (4) years (48 months)
  • Progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles


Knowledge, Skills and Abilities:

  • Proven track record of customer service.

· Strong organizational and time management skills.

· Strong interpersonal, oral, and written communications skills.

· Ability to manage competing priorities in a fast-paced environment with great attention to detail.


APPOINTMENT INFORMATION

This is a full-time Civil Service Administrative Aide position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. The minimum salary is $40,000, commensurate with experience and qualifications. Hybrid work options may be available for this position, with the ability to be on-site as needed. Work authorization is not available for this position.
