Description

JOB SUMMARY / ESSENTIAL JOB FUNCTIONS : The Administrative Associate 2 provides administrative support to the residents in the Department of Medicine which includes internal medicine residents, transitional year residents, and neurology residents.

DUTIES AND RESPONSIBILITIES :

  • Assists in the development of evaluations for use by residents, faculty, and nursing staff.
  • Assists with curriculum descriptions and updates into MedHub.
  • Coordinates communication between departments, and divisions regarding resident recruitment, orientation, annual program Affiliation Agreements, and external rotations.
  • Schedules applicant interviews, makes gift bags for applicants, escorts applicants to scheduled interviewers.
  • Assists in preparation for CLER / ACGME site visits and internal reviews by providing any information requested and scheduling appropriate resident and faculty representation.
  • Arranges meetings and conferences, schedules interviews and appointments, and performs other duties related to maintaining one or more individual schedules.
  • Orders, stocks, and distributes office supplies.
  • Proctors yearly In-Training Exam in Internal Medicine including registration, setup / reserve computer lab, and notification of affected rotations during the test.
  • Troubleshoots issues, communicates with hospital representatives, residents, and representatives regarding issues being experienced, and monitors issues to ensure appropriate and timely resolution.
  • Schedules medicine rotations and ambulatory medicine rotations.
  • Performs other related duties as assigned.

Qualifications

MINIMUM REQUIREMENTS :

EDUCATION : High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE : Two (2) years of work experience in a medical office.

KNOWLEDGE, SKILLS, AND ABILITIES :

  • Strong organizational and customer service skills.
  • Ability to maintain keen attention to details.
  • Ability and willingness to learn new skills.

WORK SCHEDULE : This position may occasionally be required to work evenings and weekends.
