Position Summary
This position serves as the financial manager for the Museum and University unit overseeing all state-aided and private philanthropic funds. The Business and Administrative Manager serves as the liaison with purchasing, accounting, human resources, and Office of Academic Affairs budgeting. The Business and Administrative Manager oversees the daily business operations for the Museum including developing, implementing, and monitoring a cohesive plan of fiscal accountability. They also oversee all administrative needs for the Museum and staff including but not limited to administrative reports, ordering supplies, and overseeing administrative communications and works with all employees. The Manager also oversees the website and all materials for updating the website, working with the Marketing Coordinator in OAA. The Manager provides executive level administrative support for the Executive Director of the Samuel Bak Museum: The Learning Center and growing office/staff. This position requires a broad knowledge of non-profit arts/cultural organizations, museums preferred as well as university operations and policies.

Duties:
In collaboration with the Executive Director, monitor and oversee all fiscal responsibility and financial integrity of the Museum/Unit to include:
  • Approve/monitor/submit all department expenditures
  • Prepares financial reports monthly
  • Oversees cost center, WBS Foundation reports, and balances
  • Oversee all transfers needed for multiple funds throughout year
  • Collaborates with OAA Budget Office
  • Prepares payment requests from NU Foundation and ORCA/Grants Accounting accounts
  • Works with ED on year-end closing and permanent budget changes/suggestions

Duties:
Administration/Operations:
  • Creates/oversees policies/procedures for Museum and staff – including but not limited to administrative policies, Museum external policies, gifts of art policies, donor policies, and operational policies.
  • Assists student workers and Assistant Gallery Manager’s with administrative access – reviews/instructs them on policies and procedures and multiple file access.
  • Orders all supplies for the Museum and staff. Oversee student workers in this process.
  • Attends OAA Business Manager meetings
  • Attends UNO Communications Manager meetings
  • Processes all donation acknowledgement letters, donor communications.
  • Works with Executive Director on funder/donor materials, solicitations, and stewardship communications (letters, calls, etc…)
  • Prepares all advisory committee materials and communications.

Duties:
Manage event/space reservation system inquiries and general tour inquiries for Museum. Creates/Oversees system for reservations and manages reservation email and all communications based emails for Museum (@info, @reservations).
Oversees and helps create reservation system for field trips/K-12 engagement programs. Trains and directs Education staff in system and practices.

Creates all email marketing campaigns and oversees website management. Works with Marketing Coordinator of OAA to provide information to be marketed out to constituents.

Required Experience
Minimum 4 years of Experience in a position with budget, financial, administrative, operations responsibilities. Proficiency with MS Office is essential. Experience in Nonprofit and/or Museum setting, including working with donors and external philanthropic stakeholders.
