Job Description

General Summary

This position is located in the following sub- pharmacy departments: orientation, training and staff development, process improvement, patient safety and accreditation and general pharmacy. Develops, implements, and coordinates internal clerical, technical and professional staff schedules; payroll activities; nursing inspections; robot administration; and orientation, continuing education, and training programs in the pharmacy department. The Coordinator is responsible for that are described below that apply to his/her dept.

Principal Responsibilities and Tasks

The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.

  • Under the direction of coordinators, operations managers, administrator and director maintains high standards of service and optimal functioning of the pharmacy by performing the following job duties:
  • Oversees the completion of monthly nursing stations, clinic and other medication use service site(s) inspections so that the Joint Commission standards are met. Oversees and coordinates daily administration of the pharmacy robot, including report(s) generation; inventory control and management; effective replenishing of all drug inventories; identifies and coordinates required packaging of all robot medications so that acceptable fill rates of 90% or better are maintained at all times.
  • In conjunction with the Coordinator of Staff Orientation, Training, and Development helps design, implement and manage new pharmacy staff orientation programs and internal training programs and continuing education programs that build employee competencies.
  • Coordinates the design, development, updating, and posting of all departmental schedules on a continuous basis according to guidelines established. Clarifies, identifies, and resolves schedule problems, questions or related issues. Handles schedule changes and requests for leave.
  • Assures completion of bi-weekly payroll submission and coordinates payroll adjustments with pharmacy administrator when appropriate.
  • Collaborates with operations managers, administrator and director to prepare reports or employee punch documents that may be used for probationary and annual performance reviews, employee grievances, and/or disciplinary actions as necessary.
  • Recommends the addition or modification of existing equipment.
  • Ensures compliance with requirements of accreditation and regulatory agencies through
  • periodic inspections and observation of practices. Takes appropriate actions when violations occur. Evaluates customers and their needs, thereby maintaining appropriate standards of drug distribution, customer satisfaction, and improved services.
  • Assists in the evaluation of pharmacy performance. Recommends, initiates, and effects measures to improve services and quality of current methodologies pertaining to areas of responsibility.

Assists in the determination of need for development of new services.

Ensures the quality of Coordinator Technical Staff duties, responsibilities, and activities in the pharmacy, including training of routine and/or specialized functions, orientation, maintenance, and quality assurance and control programs.

  • Monitors the quality assurance and control of pharmacy operations, supplies, programs and equipment; regularly audits validity and accuracy of quality assurance outcomes.
  • Monitors equipment maintenance, performs quality control, proficiency testing and libration to ensure accuracy, efficiency, and documentation/ reporting of same.
  • Provides expertise by counseling staff and solving problems related to area of responsibility.
  • Tracks the Joint Commission Maryland Board of Pharmacy or other regulatory agencies requirements, licensure or certification(s) pertaining to pharmacy staff, and documents them on appropriate forms.

Communicates between pharmacy personnel, patient support services, and other patient care areas to relate operational procedures, to mediate differences, and to resolve problems. Communicates regularly with nursing staff to address any special patient care needs. Attends various meetings with other departments/units to ensure and maintain service quality.

Maintains documentation of department activities, regularly, for reporting purposes and for modification and improvement of department operations.

  • Assists with the preparation and review of staffing model data.
  • Compiles productivity reports, pertaining to manufacturing, packaging, robot efficiency, and employee quality assurance profiles.
  • Reviews and documents equipment management including frequency of use and preventive maintenance.
  • Prepares quarterly quality assurance and safety activity reports.
  • Assists with in-service education for pharmacy staff.
  • Assists with in-service education for pharmacy staff.
  • Submits to operations managers’ departmental operations, training, inspection, data (narrative and statistical)f or administrative reports, as required.

Keeps current with trends and advances in methods of pharmacy, staff training, distribution, production, and preparation of medications.

May assist operations managers with the management of the personnel budget. Assists with monitoring activity and adjusts plan monthly to ensure that the projected resource budget is met.

May perform responsibilities of the pharmacy technician or support staff when necessary.

Perform related duties, as required.

Qualifications
  • Completion of a high school level of course work with attainment of a high school diploma or possession of a state High School Equivalency Certificate (GED) is required. Associate's degree preferred. Certification or enrollment within 1(one) year of hire date, as a registered Technician obtained from the Pharmacy Technician Certification Board.
  • A minimum of three years of Pharmacy Technician experience.
  • Proficient knowledge of pharmacy processes, procedures, and policies. Knowledge of generally accepted pharmacy principles, practices, pharmaceutical generic and trade names, general mathematics, and personal computers, is required.
  • Knowledge of general PC computer software applications, such as, spreadsheet, database, word processing, data entry is required.
  • Highly effective interpersonal skills, written, and verbal communication skills are required to work successfully with a diverse group of staff at various levels within the organization, to resolve customer service issues, and to give directions and instructions.
  • Proficiency in use of computerized systems for tracking and evaluating distribution, production, and preparation of medications within the pharmacy.
  • The ability and knowledge to perform support staff duties in all work areas periodically in cases of resource shortages.
  • Ability to stand for prolonged periods of time and walk periodically in the process of performing pharmacy supervisory work.
  • Ability to demonstrate knowledge and skills necessary to provide care appropriate to the age of patients served by the department. The individual must demonstrate knowledge of the principles of growth and development over the life span and possess the ability to asses data reflective of the patient's requirements relative to his or her age- specific needs, and to provide the care needed as described in the unit/area/department policies and procedures
