Description

  • The historic St. Louis College of Pharmacy at University of Health Sciences and Pharmacy (UHSP) is currently seeking a dedicated, talented professional, Administrative Coordinator, to manage administrative processes for the Dean of Pharmacy and college;
  • support faculty and systems; supervise student workers; maintain necessary documentation for the college and office organization;
  • provide management of college and departmental budget; communicate with constituents for needed supply inventory, mail and signage;

and support event planning and staffing. This position reports to the Dean of pharmacy.

You will have an opportunity to :

  • serve as the Dean’s Office receptionist and greet / direct guests in the Dean’s Office
  • schedule meetings for College administrators ( Dean, Associate Deans, Department Chairs, etc.)
  • monitor and coordinate overall College and departmental budgets and accounting activities
  • process check requests, travel requisitions / approvals, Personnel Action Requests (PARs), and credit card statements for College faculty and administrators
  • Schedule, prepare agendas, and take minutes for Faculty, Pharmacy Practice (PP), and Pharmaceutical and Administrative Sciences (PAS) department meetings
  • create signage for offices, desks, and hallways
  • oversee supply ordering for College, including kitchen, office, laboratory, and technology equipment
  • distribute and deliver incoming and outgoing mail, FedEx, and faxes
  • coordinate requests through internal systems (, IssueTrak, Helpdesk, EMS, maintenance and key requests, parking requests, marketing requests for business cards, etc.)
  • maintain and update directory information in collaboration with IT
  • organize Teams folders and relevant information for College employees
  • maintain organization of Dean’s Office
  • verify board of pharmacy and licensure forms for students
  • develop, coordinate, implement, or support programming and events for students at the College of Pharmacy in conjunction with the Deans and the Events Manager.

Events will include, but are not limited to : White Coat Ceremony (primary role), Graduate Awards Reception (supportive role), and College of Pharmacy Commencement (supportive role)

  • supervise student workers
  • co-monitor the Dean’s Office email with other office personnel
  • serve as a standardized patient and proctor as needed
  • complete other duties as assigned and provide cross-coverage for other Dean’s Office staff as needed.

Qualifications

To succeed in this role, you will need :

Bachelor’s Degree. Minimum of four years of experience supporting a senior level executive performing administrative, operational, and financial management work, preferably in higher education;

experience with short- and long-range administrative and academic planning, event and program management

  • strong quantitative, analytical, research, evaluation, and writing skills
  • close proofreading skills, attention to detail, and a high degree of clerical accuracy
  • strong organizational and follow-through skills to develop and execute work plans, prioritize work, manage multiple tasks with competing deadlines and meet deadlines
  • proficiency using standard office software programs, and the capability to learn new job-related programs
  • knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds
  • professional demeanor in a fast-paced, student-focused team environment
  • customer-focus; and strong interpersonal communication skills to work effectively with diverse members of the university community and external constituents
