Job Summary:

The Office of Student Services (OSS) at the CU Skaggs School of Pharmacy and Pharmaceutical Sciences provides supportive services to our students, alumni, faculty, staff, and community partners. This position will provide student services, general administrative support and some executive administrative assistance to the Office of Student Services, the Senior Associate Dean for Student Affairs, and the Assistant Director of Student Success and Wellness, all of which must be completed in a professional, polite, responsible, and respectful manner.

Key Responsibilities:

  • Manage the day-to-day operations of the Office of Student Services (OSS) by serving as the first point of contact for the office. This includes providing customer service to all visitors, ensuring coverage during operating hours, scheduling appointments and events, making copies, taking meeting minutes, and managing office supply inventory.
  • Serve as the technical accountant by processing deposits and assisting with management of travel and procurement card expenses. Tasks will also include processing reimbursements for students, tracking purchases of the office, and management of Concur reports.
  • Assist with planning of special events, including completing necessary paperwork per fiscal and procurement policy, event set-up, event clean-up, and attendee coordination. Events will include select outreach events and initiatives, commencement, awards and scholarship convocation, white coat ceremony, new student orientation, career day, and OSS bi-monthly meetings and annual retreat.
  • Serve as a resource to students by providing information related to policies and programs. Foster student success by supporting Assistant Director of Student Success and Wellness in managing early intervention process. Promote positive, supportive relationships among students and between students and School of Pharmacy faculty and staff.
  • Responsible for maintaining student records, including accurately retrieves, compiles, tabulates and performs basic statistical analysis on OSS data for a variety of reports, creates and maintain files that support SOP committee operations, manages, and maintains a database of School of Pharmacy applicants and admitted students, and enters student application information into CU-SIS program prior to deadline for financial aid consideration.
  • Provide admissions support through coordination of faculty, students, and applicants paperwork to support the on-site admissions interview process, analyzes applicant files for missing documents and contacts applicants to request missing items, confirms receipt of application materials, fees and other items as needed, and assists with document collection and dissemination to applicants/candidates from application to matriculation, including residency follow-up final deposits.

Work Location:

Hybrid – this role is eligible for a hybrid schedule of 4 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

  • Bachelor’s degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • One (1) year of professional level experience with student services.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Experience managing large-scale events.
  • Experience working in higher education, particularly in a student support setting.
  • Experience working with a student information system (SIS), or similar software.

  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.

  • Well established computer and technology skills.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $38,800 - $49,354.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
