Job Summary:

Join the Office of the Executive Vice Chancellor for Administration & Finance and Chief Financial Officer (EVACF) as the Executive Assistant. This role provides high-level, confidential support which requires knowledgeable discretion and insightful judgment, attention to detail, grace under pressure, and the ability to multi-task, prioritize, exercise appropriate initiative, and once acclimated, will work with significant independence within the scope of the position. The Executive Assistant must establish and maintain a positive, professional and effective working relationship within the campus with officers, executives, and staff within the University and externally with members of the community (visitors) and other stakeholders. This position is responsible for heavy calendar management, prioritization of daily appointments, and organizing complex, time-sensitive meetings with internal and external executives.

Additionally, this position also provides travel assistance, procurement, human resource time-keeping, and onboarding support and is responsible for shared planning, organizing, and executing official functions and events.

Key Responsibilities:

  • Provide primary administrative and calendar management support to the EVCAF, responding to all requests in a timely manner.
  • Gather background information and organize materials in advance in preparation for the EVCAF’s daily appointments and periodic meetings.
  • Develop and maintain a broad knowledge of the external groups and individuals with whom the EVCAF regularly interacts and serves as liaison to these groups and individuals as needed.
  • Coordinate and prioritize a high volume of meeting requests based on knowledge of relationships with various stakeholders and the EVCAF’s strategic initiatives—handling sensitive meeting requests with discretion.
  • Update and maintain a calendar of events that require the EVCAF’s attendance.
  • Assist with special projects and assignments, which include gathering data, organizing materials, consulting with information sources, generating reports, drafting summaries, coordinating program and accreditation reviews, and various other activities as assigned by the EVCAF.
  • Provide fiscal support for the EVCAF’s office by procuring products and services as needed.
  • Process payment vouchers, travel authorizations and expense reimbursements as needed.
  • Coordination and execution of both on- and off-campus events and official functions on behalf of the EVCAF, ensuring room reservations/setup/configuration (i.e., audiovisual and computer equipment, seating, etc.) and all necessary paperwork is completed in advance of events.

Work Location:

Hybrid – this role is eligible for a hybrid schedule of 2 days per week on campus and as needed for in-person meetings. This role is located on the Anschutz Medical Campus in Aurora, CO.

Qualifications:

Minimum Qualifications:

  • A bachelor’s degree from an accredited institution
    • Substitution: Related administrative support experience may be substituted on a year-for-year basis for the bachelor’s degree
  • At least five (5) years of executive support experience
    • Experience must include managing executive-level calendars, scheduling and preparing for meetings, and extensive use of the MS Office Suite.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Successful executive support experience at the C-Suite level
  • Professional experience in a higher education environment
  • Experience respectfully managing complex, sensitive and highly confidential information
  • Experience coordinating travel
  • Experience with University of Colorado systems, including: Concur, Marketplace, and/or PeopleSoft HCM/Finance
  • Experience in event planning, coordination and execution

Conditions of Employment:

  • Must be available on-call in situations of critical or emergent times

Knowledge, Skills and Abilities:

  • Excellent time management skills.
  • Ability quickly to acquire knowledge of the University of Colorado, including its organizational structure, relationship to the Board of Regents, Colorado Commission on Higher Education, the legislature, and other governing bodies.
  • Knowledge of, and ability to apply accepted theories, practices and principles of general management and administration.
  • Possess highly developed skills in serving in an executive assistant capacity.
  • Ability to work in a self-directed manner and to take appropriate initiative and work pro-actively with minimal direction.
  • Ability to establish work priorities and follow through to ensure completion of activities.
  • Ability to support and encourage workplace diversity including ability to recognize opportunities to promote diversity within and outside the department, and active participation in campus diversity activities.
  • Ability to cooperate and support other department employees contributing to a productive work environment.
  • Ability to communicate effectively and appropriately, both orally and in writing, to internal and external constituents.
  • Ability to exercise tact and diplomacy in a variety of situations.
  • Ability to prepare professional presentations and documents using current technologies.

Anticipated Pay Range:

The starting salary range for this position has been established as $75,000 - $85,000 annually.

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
