Job Summary

The Miramontes Arts & Sciences Program (MASP) is encouraging applications for The Miramontes Program Manager position! The Program Manager plays a key role in the department and is responsible for supervising all essential administrative functions and daily operations of the program. The Manager will provide expert-level budgetary, financial, policy, HR and administrative support to the Faculty Director by managing the department finances, personnel processes, scholarship administration, event planning, recruitment efforts, and supervising the Program Assistant. This position provides critical strategic leadership by anticipating the program's needs and advising and assisting the program directors in the development and implementation of a wide range of program policies and initiatives in compliance with principles, rules, regulations, policies, precedents, and other guidelines specific to the College of Arts and Sciences, the University of Colorado Boulder, and the State of Colorado.
The person in this position must have excellent communication and organizational skills and be able to successfully manage multiple self-directed projects that may have ambitious priorities. Thus, the individual in this position must have a strong administrative background and excellent skills in business administration, fiscal and personnel management.
Along with the rest of the MASP team, the Program Manager’s role is ultimately in the service of MASP students and their success at the university. The position plays a key part in a collective team effort to build an inclusive community for MASP students at CU. As such, the Program Manager position is a hybrid position with one day a week remote and will include regular interpersonal contact with MASP students as they come into the program space for guidance, resources, and community.

The Miramontes Arts and Sciences Program (MASP) is an inclusive academic community and scholarship program supporting highly motivated students from diverse backgrounds in their matriculation to, retention at and graduation from the College of Arts and Sciences at the University of Colorado. This exciting and enriching program exposes students to opportunities on campus to enhance their academic experience and helps foster skills to promote their well-being and academic success. MASP offers cohort bridge programs, participation scholarships, one-on-one academic guidance and mentoring, one credit honors-style seminars, and, most importantly, a supportive and inclusive community of peers, staff, and faculty.

What Your Key Responsibilities Will Be

Program Management:
  • Moderate daily programmatic functions and responsibilities for the department and coordinate procedures and policies between the College of Arts and Sciences and various other campus departments.
  • Coordinates MASP’s bridge programs including timeline, outreach, applications, programming, special events, and any other aspects involved in hosting bridge programs on campus.
  • Responsible for course scheduling, enrollment, and curriculum management and advises faculty on the course scheduling process. regarding the construction of the schedule of courses and curriculum.
  • Coordinates with the A&S Scholarship office to manage scholarship awarding and distribution in conjunction with the Office of Financial Aid.
  • Manages all program files in compliance with FERPA, including maintaining up-to-date student cohort data and creating spreadsheets for tracking student engagement in the program each semester.
  • Maintains and coordinates the program’s use of One Drive and Share Point files and helps other program personnel know/follow program-standardized file saving processes.
  • Reviews general program processes, workflow, and operations to establish efficiencies.
Program Fiscal Management:
Fiscal Oversight
  • Oversees and monitors the financial operations of the unit.
  • Evaluates and forecasts unit resources available for course offerings, programs, general operations, and special projects.
  • Provides revenue and expense tracking and analysis to assist the Faculty Director with monthly and yearly budget planning. Provides financial reports as requested.
  • Identifies and informs the Faculty Director about projected spending and potential budget shortfalls and suggests resolutions for unexpected or unique financial situations. Analyzes business operations for programmatic and fiscal efficacy and proposes improvements to the Faculty Director.
  • Monitors gift funds and donor contact, analyzes and makes projections regarding endowment, earnings/losses, and spending practices, in coordination with the Office of Advancement, CU Foundation, and the A&S Associate Dean for Student Success team.
  • Ensures program bills are paid and processed on time.
Expenditures
  • Provides oversight for all accounting, purchasing, and payroll functions to ensure compliance with approved budgets and policies, procedures, rules, and regulations.
  • Authorizes expenditures. Responsible for purchasing, procurement, and buying and contracting.
  • Assists faculty with completing expense reports, as needed.
  • Maintains budget files, so they are accessible for the Faculty Director and the Associate Dean for Student Success and university examination or audit.
  • Program Recruitment and Outreach:
  • Organizes recruitment of new students to promote new and existing programming to reach vital enrollment goals.
  • Partners with the Office of Admissions and the College of Arts & Sciences recruitment team to develop and implement effective outreach strategies based on current programmatic needs.
  • Develops/drafts outreach communication for prospective students through various mediums, including print, email, web, and social media, in consultation with the Faculty Director. Coordinates outreach campaign release in consultation with the Faculty Director.
  • Attends relevant Admissions events as a representation of the Program and organizes and manages student outreach volunteers.
  • Coordinates MASP's outreach efforts to campus partners, alumni, donors, and external community members to build program visibility and support.
  • Serves as a liaison between MASP and other programs/units on campus.
  • Administrative Leadership:
  • Assists the Faculty Director in developing and implementing policy decisions and programming initiatives.
  • Directs the flow of information and anticipates programmatic needs/directions to forecast required needs and propose solutions.
  • Assists the Faculty Director and Assistant Directors in all program activities, including meetings, rosters, documentation, and assessment.
  • Continually analyzes processes, workflow, and operations to improve efficiency, compliance, and outcomes.
  • Creates an effective operation by promoting collaboration and clear communications.
  • Oversees and is aware of the status of projects and tasks that directly relate to the activities in the work unit.
  • Be in charge of data gathering and assessment of the program to provide guidance to the Faculty Director on class offerings and student events.
  • Organizes the daily activities of the work unit by prioritizing and monitoring workflow to ensure target dates are met.
Personnel Management & Staff Supervision:
  • Manages and supervises the Program Assistant (00757036).
  • Responsible for hiring, training, leave approval, timesheet approval, performance management, evaluation, and disciplinary actions.
  • Reviews work for accuracy as needed and ensures due dates are met.
  • Is responsible for the Program Assistant’s supervision of the student hourly workers who assist with general office coverage, student activities, including field trips.
  • Runs the hiring and payroll processes for all department personnel (faculty and professional staff) including providing documentation within college, university and state guidelines.
  • Leads the administration of instructor reappointments, promotions, and merit increases in coordination with the Associate Dean of Student Success and Faculty Director.
  • Runs a monthly payroll register to ensure that pay is processed correctly, and initiates payroll corrections as needed.

What You Should Know

This position is eligible for a hybrid work schedule that allows for one day per week remote. This position also requires attendance at events that may be outside of typical working hours, including weekends.

The annual salary for this full-time position is $53,000.

What We Would Like You to Have

  • 3 years of progressively increasing experience in financial management, operations, and human resources.
  • Professional experience with complex HR and Finance systems.
  • Experience supervising and mentoring professional and/or student staff or related supervisory experience.
  • Experience working with traditionally underrepresented or first-generation students, in a higher education setting or a professional field.
  • Knowledge of diversity initiatives and demonstrated commitment to inclusive community building.
