Job Summary

The University of Colorado Boulder encourages applications for an Administrative Assistant for our Advancement team! The assistant operates as a key support member of the Alumni Association team and is a crucial part of the Office of Advancement at the University of Colorado Boulder. Under the guidance of the Executive Assistant coordinating operations, this position provides administrative support for a hard-working and collaborative alumni relations team and will work on a broad array of projects and tasks.
This position will perform administrative duties that are variable and complex in nature and is tasked with exercising a high level of discretion and confidentiality, especially as it relates to assigned responsibilities with donors, faculty, staff and other constituents. This role applies skills and knowledge in multiple administrative functions, but many responsibilities reflect a distinct Advancement and constituent engagement component.

What Your Key Responsibilities Will Be

Administrative Support
  • Provide administrative support to the Sr. Director of Forever Buffs Engagement and Outreach through calendaring, expense report creation, and travel planning.
  • Provide general administrative support to the Alumni Association team as detailed by the Executive Assistant overseeing operations.
  • Assist with new employee onboarding administrative tasks.
  • Assist with special projects.

Office Management
  • Procure office supplies and event materials.
  • Maintain mail room and common spaces.
  • Manage internal staff workplace documents such as staff phone list, remote work schedule, and office sign-up sheets.
  • Serve as a liaison between the Alumni Association donor relations and alumni engagement team and various internal and external constituents. Research and gather information on various topics as necessary and expedite the flow of information to staff.
  • Resolve IT/software related issues.
Communication Support
  • Develop competence in using the e-Comm platforms which currently include Cvent, Marketing Cloud and Salesforce.
  • Run reports and be responsible for communications for thanking Alumni Association gift fund donors.
  • Generate and distribute financial reports to staff as needed.
Serve as SCRUM master for the Alumni Association Leadership Team's Agile project management
  • As SCRUM Master through the Agile Project Management approach, this role will be responsible for the following:
    • Owns the Agile delivery process and is responsible for maturing the Team’s understanding and growth within the framework
    • Schedules and facilitates agile ceremonies for the team
    • Supports the Team in delivering work where appropriate, based on skills and capabilities
    • Creates and communicates sprint / release progress via information radiators
    • Coordinate with other areas of the organization to ensure dependencies are managed and synergies are explored and communications are clear
    • Socializes Scrum and Agile to the organization
  • Please note that we will provide training in these areas.
Other Duties
  • Provide event staffing support for all-hands Alumni events and other events as needed.
  • Perform other administrative and operational duties as needed.

What You Should Know

  • This position has the ability to work a hybrid schedule with some days on campus and some days remote.
  • This position will occasionally be required to work evenings/weekends.

What We Can Offer

$50,000.00 - $58,197.36. Relocation assistance may be available within department guidelines.

What We Require

  • Bachelor's degree or equivalent combination of education and experience may substitute.

What We Would Like You to Have

  • Experience in or understanding of a non-profit or higher education environment.
  • Experience working in customer service and/or an operations-oriented role.
  • Experience with Agile methodologies.
