Job Summary

The office of the Vice Chancellor for Student Affairs at CU Boulder encourages applications for an Administrative Assistant! This position provides support for the Executive Team for Student Affairs, and works in partnership with other professional assistants supporting the VCSA's executive leadership team. Working with independence and initiative, this role ensures the team is organized and prepared each day by maintaining accurate and up-to-date schedules, calendars, notes, and travel arrangements. This position will be relied upon to accurately coordinate calendars and schedules, support travel needs, communicate effectively, and use professional discretion and judgment. It is vital that this position develops and maintains a significant understanding of university policies and procedures and works effectively with Division of Student Affairs units, campus partners, parents and families, donors, and community members. The Administrative Assistant will also help with scheduling rooms and completing administrative duties as needed, and serves as part of a larger team in office coverage that may include supervision and coordination of student employees.

The work in Student Affairs supports all factors of the student experience, no matter what department a staff member may work in. This includes where students live, eat, make friends, build professional skills and find help if they need it. Many departments provide involvement opportunities, educational resources and support services to help students find their community and build lifelong skills. What Your Key Responsibilities Will Be

Executive Level Support

  • Coordinates and maintains complex calendars. This includes setting up leadership-level meetings for multiple attendees, securing conference rooms, and organizing general calendar workflow and determining priorities for calendaring, ensuring that all materials needed for appointments/meetings are ready and available in a timely fashion.
  • Coordinates travel arrangements and prepares reimbursements.
  • Anticipates the needs for the Executive Team and within the VCSA office; including time management and prioritization, meeting preparation, logistical response to unanticipated events, and exercises independent judgment to solve problems.
  • Takes initiative to identify effective solutions and fully completes resolutions to the highest standards.
  • Manages a system of follow-up with individuals and groups to ensure appropriate resolution of issues.
  • Ensures meetings and events involving the AVCs are implemented at the highest level. Anticipates needs and prepares materials well in advance.
  • Provides logistical and strategic support for the arrangement, coordination and dissemination of minutes and action items from meetings.

Administrative Management

  • Creates and revises administrative policies and procedures to ensure consistency
  • Analyzes internal administrative procedures, policies and processes; recommends and implements procedural or policy changes to improve administrative office management operations.
  • Serves as a backup for VCSA Suite Office coverage. May hire, train, schedule and supervise students to help with office coverage or other support duties including but not limited to: greeting visitors, answering phones and responding to general inquiries, screens calls, responds to requests for information, resolves concerns and complaints, refers inquiries as appropriate, and manages other projects/duties.
  • Maintains a list of regularly scheduled activities and goals and proactively works to make the AVCs and leaders within this portfolio successful in meeting the needs of those activities
  • Coordinates Division, university, professional association, and community events related to the work of the AVCs and Students Affairs by researching and booking locations, coordinating agendas, managing participant registration and participation, and providing day of logistical coordination.
  • Maintains rosters for various committees, teams and groups; reviews membership and criteria with direction from the Executive Team.
  • Creates and maintains central tracking systems for events, staff retreats, and large scale meetings, conferences and professional development activities, and makes scheduling and logistical recommendations based on this information.
  • Serves as logistical coordinator for leadership level job searches which includes arranging candidate interviews, managing travel and reimbursements, inviting appropriate Division staff and campus partners to participate, and collecting and synthesizing feedback.
  • Provides administrative and logistical leadership for regularly occurring Division and portfolio-related events and meetings (All team meetings, Town Halls, Staff Awards & Recognition, retreats, etc.)
  • Tracks requests for Executive Team and portfolio staff to serve on committees, give presentations, provide input or recommendations on policies or legislation, and related requests.
  • Assists with Student Affairs related email accounts and provides responses in a timely manner while coordinating messaging with related units, students and parents.
  • Orders and manages office supplies for the VCSA office suite.
  • Responsible for standard communication pieces in times of student crises with direction from senior leadership.

Division Projects and Events

  • Assists Executive Team and VCSA staff with special initiatives and projects, such as coordination of office moves and renovations, one-time conferences and events, compiling data to meet campus or System requests, organizational restructures, consultants, and related projects.
  • Develops productive working relationships with academic and administrative leaders and their staff.

What You Should Know

  • Hours may fluctuate based upon work priorities and demands of meetings and special events. Primary work hours are 8:00 AM - 5:00 PM during the academic year and modified hours as appropriate during the summer at 7:30 AM - 4:30 PM (upon approval).
  • Current modalities include some days in-person and some days working remotely. These are up to the discretion of the supervisor and may be modified at any point in time.

  • The salary range for this position is $57,000 to $61,000 annually. Onboarding assistance is available within Student Affairs division guidelines.

What We Require

  • Experience working in Student Affairs.
