JOB SUMMARY
The The Talent Acquisition Administrative Specialist (TAA Specialist) supports the Talent Acquisition unit within Staff Human Resources (SHR). The TAA Specialist serves as a consultant to campus hiring teams on a wide array of talent acquisition, recruitment and hiring related functions. The TAA Specialist normally receives general direction on assignments, with more detailed direction provided on new or more specialized or complex work. Exercises judgment within defined employment and hiring procedures and practices to determine appropriate action. Works collaboratively and establishes effective working relationships with managers and staff, clients, campus constituents, and union representatives. Provides analytical, administrative, and customer service support in areas such as applicant and job seeker inquiries, new employee onboarding, coordination of advertising and records management, and application of diversity, equity and inclusion in recruiting concepts and practices. Uses professional employment and hiring tools and concepts for employment, sourcing programs, and policies and practices for the organization. Advises on initial outreach planning, effective documentation and recordkeeping, and the hiring and onboarding of qualified candidates. Uses knowledge of organizational policies and procedures to provide guidance to hiring units, and to resolve a variety of employment issues of moderate scope and complexity.

Salary Information: Salary Range: $32.28/hour.
Under California law, the University of California, Santa Cruz is required to provide a reasonable estimate of the compensation rate for this role and should not offer a salary above the posted rate. The salary shown above is the rate the University reasonably expects to pay.

JOB DUTIES
50% - Recruitment Support
  • Provides administrative and analytical support to applicant and job seeker inquiries, new employee onboarding, coordination of advertising and records management, and application of diversity, equity and inclusion in recruiting concepts and practices.
  • Monitors recruitment actions as they move through review and approval workflows, providing data or approval as necessary.
  • Applies professional employment and hiring tools and concepts. Applies organizational policies and procedures in addressing and resolving moderately complex matters.
  • Extracts information, runs reports and queries. Analyzes complex data and creates management reports. Compiles documentation and prepares forms, ensuring accuracy and compliance with union agreements, policies, and legal requirements.
  • Conducts research and analysis of various employment and/or recruiting issues, which may be highly sensitive or confidential in nature. Tracks frequent issues and documents solutions to incorporate into support tools.
  • Assists internal and external customers with access to UC Path Employee Self-Service portal, UCSC Talent Acquisition Management system (TAM), and Recruitment Document Suite (RDS) in google Drive; troubleshoots routine technical issues and makes referrals as necessary.
  • Creates, proofreads, edits, and rewrites correspondence/reports/other materials as necessary, ensuring content is accurate, clear, and correct.
  • Maintains records in accordance with UC record retention schedules and requirements.
20% - Onboarding Support
  • Ensures accurate preparation of employment and other related digital forms for onboarding of new hires, rehires, and internal candidates.
  • Supports a welcoming onboarding process: assists with set up of remote and in-person meeting space; reviews right-to-work documents and ensures appropriate status; facilitates onboarding presentations aligned with the UCSC principles of community, explains various employment related forms, and ensures correct completion.
  • Reviews and approves data entry into the payroll system. Routes digital forms to establish, or add to, employee personnel files.
20% - Outreach and Applicant Support
  • Works in a collaborative manner with assigned business units, other areas of HR and outside recruiters / agencies on matters pertaining to hiring needs.
  • Coordinates employment advertising campaigns and programs.
  • Engages in networking and outreach related activities, such as job fairs and expos, to support consistent outreach to qualified applicants.
  • Works with external resources including temporary staffing agencies, and contract search firms.
10% - Business Systems & Processes
  • Assists with training efforts addressed at educating and empowering our applicants, new employees and campus partners to successfully engage with processes, tools and systems.
  • Participates in the development, updating, and delivery of recruitment and hiring related presentations, internal and external reference materials.
  • Initiates and supports streamlining and improvement of processes, procedures, workflow and tracking methods.
  • Participates in the following: periodic system testing; maintenance of training materials; delivery of training to internal and external clients.
  • Receives and evaluates requests for information from unions, the Office of the President, Campus Counsel, and others. Gathers information and prepares draft responses. Assesses incoming requests and input to ensure concerns/issues are being addressed.
  • Coordinates and schedules meetings and other events. Acts as a subject matter expert on projects, committees, and work groups. Takes meeting notes and assists with tracking project completion. Collects or produces background materials and agendas for meetings, projects and presentations.
REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience and / or training
  • Working knowledge of the recruitment, screening, interviewing and referral processes.
  • Customer support experience.
  • Ability to analyze issues and effectively research, gather and integrate information
  • Strong attention to detail.
  • Cultural competence and interpersonal skills with the ability to engage in open, effective, and positive interactions with individuals from a diverse community.
  • Demonstrated analytical and critical thinking skills to conduct analysis and develop / implement creative solutions.
  • Organizational and time management skills to independently track and coordinate activities, set priorities, manage deadlines, and maintain service levels in a professional manner.
  • Ability to cope with ambiguity and regularly shifting priorities.
  • Desktop computer proficiency, including word processing, spreadsheets, email, and calendaring software, including the ability to utilize available resources to conduct research, solve problems and learn complex systems.
  • Writing skills sufficient to prepare concise, logical and grammatically correct correspondence, documents and procedures, with an ability to proofread and edit one's own work and the work of others.
  • Working knowledge of human resources policies and programs, and how work may impact other departments and areas; ability to assimilate knowledge of employment laws, policies, and procedures and apply them with consistency to varied circumstances.
  • Ability to recall, retrieve, and communicate detailed information quickly, accurately, and clearly, both verbally and in writing.
PREFERRED QUALIFICATIONS
  • Experience using Google Suite, including Gmail, Google docs/sheets and Google Drive.
  • Bilingual in English and Spanish.
  • Experience providing administrative support.
SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Must possess a valid license to drive in the state of California.
  • Ability to work long periods of time at a computer with or without accommodation.
  • Will be required to work a hybrid work schedule, days of the week and number of days to be determined, and be able to fulfill requirements of the UCSC telecommuting agreement.
  • Ability to work overtime including evenings, nights, weekends and holidays to meet operational needs, and work an alternate work schedule shift as required.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Ability to travel to multiple work locations on and off campus.
  • Ability to travel within a defined regional or service area.
