This position has the option to work a hybrid remote schedule, with 3 days/week in the office,. This requires a telecommuting agreement and adherence to the UCSC Telecommuting/Remote Work Guidelines. The employee shall be available in a full-time capacity during assigned telecommuting work hours (specific hours to be discussed with supervisor). While telecommuting/remote working, the employee is responsible for ensuring a worksite environment suitable for accomplishing their regular job duties during scheduled hours of work, just as they would if they were working at the regular UCSC worksite.
NOTIFICATIONS
UC Vaccination Policy: With limited exceptions, COVID-19 vaccinations are required for Covered Individuals under the Policy. Covered Individuals include all employees, students, or trainees who physically access a University facility or program in connection with their employment, appointment, or education/training.
Covered Individuals do NOT include employees who work 100% remotely with NO expectation that they will physically access any University location or program at ANY time. If 100% remote work ends, the employee is subject to policy.

DEPARTMENT OVERVIEW
The Music Department currently serves approximately 40 graduate students within 2 doctoral programs and 1 Master's program and supports all Music Department academic programs, faculty and administration.
The Art Department MFA in Environmental Art & Social Practice currently serves 8 graduate students with 16 expected in 2022-23 (steady state is up to 20 students).
Each of these degree programs has collaborative, interconnected components, as well as distinct and complex degree requirements, maintaining separate policies and procedures.

JOB SUMMARY
Applies professional student services concepts. Provides varied student services to students, faculty, and department / school / college management. Works on moderately complex issues. Receives assistance on more complex issues.
Under general supervision of the Art Department and Music Department Administrative Managers, the incumbent serves as the graduate coordinator for matters relating to all of the graduate programs in the Art Department at 40% time and the Music Department at 60% time.
The incumbent serves a diverse population of students and faculty. Each of these degree programs has collaborative, interconnected components, as well as distinct and complex degree requirements, maintaining separate policies and procedures. Principal functional areas of responsibility include: (1) academic advising and program planning; (2) database maintenance and student record coordination; (3) general administrative support; (4) social media and graduate newsletter; and (5) admissions and recruitment.

Salary Information: Salary Range: $26.87 - $30.84 / Hourly. Salary commensurate with skills, qualifications and experience.

JOB DUTIES
25% - Academic Advising
  • Provides advice and assistance to students on academic and degree progress and requirements; assists students in determining a degree and requirements, alternative academic options; resolves scheduling conflicts and similar issues. Communicates academic deadlines and information via email and manages group email lists for advising purposes.
25% - Data Tracking
  • Organizes and manages large amounts of data pertaining to graduate student programs, Teaching Assistant allocation and funding, using spreadsheets to track and maintain information over a projected period of time.
15% - Program Support
  • Provides general program support.
10% - Recruitment and Admissions
  • Implements outreach programs with specifically targeted institutions; advises prospective applicants on necessary academic preparation and appropriateness of program as it pertains to the prospective applicant's goals; reviews domestic transcripts for degree eligibility; initiates and arranges student recruitment visits.
10% - Financial Aid
  • Participates in the processing, evaluation, and awarding of student fellowships, grants, and other awards; advises students on financial aid options. Processes awards and payments to student accounts.
10% - Student Conduct
  • Advises students and faculty regarding organization policies and procedures on student conduct. Student Orientation - conducts orientations of new students and assists in organizing job fairs.
5% - Additional Duties
  • Coordinates and implements non-complex student events and assists in the planning and implementation of complex events. May assist with web support (updating department website and other media platforms).
REQUIRED QUALIFICATIONS
  • Bachelor's degree or equivalent experience / training.
  • Knowledge of advising and counseling techniques or transferable skills and experience.
  • Interpersonal and verbal communication skills.
  • Multicultural competencies; ability to work with diverse populations.
  • Skills in service orientation, active listening, and critical thinking.
  • Ability in problem identification and reasoning.
  • Written communication skills.
  • Ability to multi-task; possess organizational skills and the ability to effectively prioritize workload with pressure of deadlines and interruptions.
  • Excellent attention to detail.
  • Demonstrated extensive and well-developed experience in entering data, creating reports, and forms using database applications.
  • Demonstrated commitment to embracing diversity in all its forms and striving for an inclusive community that fosters an open, enlightened, and productive environment.
PREFERRED QUALIFICATIONS
  • Knowledge of University-specific computer application programs and pertinent databases.
  • Knowledge of University processes and procedures.
  • Understanding of University rules and regulations.
  • Familiarity with the UCSC Academic Information System (AIS).
  • Substantial experience working as front desk/frontline customer service support for a high traffic office environment.
  • Demonstrated skill in creating flyers and updating web pages using computer-based web languages and application software such as, or equivalent to, Drupal, Dreamweaver, Adobe PhotoShop, Microsoft Publisher. Ability to work with digital photography.
  • Understanding of the UCSC Teaching Assistant duties, hiring policies and guidelines.
  • Prior event planning experience.
SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • Will be required to work a hybrid work schedule, days of the week and number of days to be determined, and be able to fulfill requirements of the UCSC telecommuting agreement.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
