Job Summary

Department: Pulmonary
Responsibilities:
Clinical:

  • Performs routine clinical functions and documents in patient chart, including but not limited to vital signs, height, weight, pain screening, and documentation of chief complaints.
  • Documents use of interpreter as appropriate; facilitates interpreter participation for medical appointments in person, by phone, or by video.
  • Assists nurses, providers, and patients in preparation for exams and/or procedures.
  • Performs walk tests and assists with procedures in department if needed.
  • Assists with medication review by helping patients update and review their medication list.
  • Assists with abstraction of medical information, updating providers with status.
  • Assists patients with completion of clinical research forms and accurately enters data points into flowcharts for patient's visit.
  • Reviews labs required by provider are in the patient's profile and ready for provider's visit; if not, proceeds in calling facility for labs to be sent to office.
  • Successfully completes all appropriate competencies for department specialty as required.
  • Supports providers in managing and reviewing in-basket messages and acts as chaperone as needed.
  • Works as an internal float for department as requested by supervisor.
  • Transports patients as directed, monitors patient flow in and out of the clinic, and participates in updating mandatory logs.
  • Assists with monthly clinical surveys and chart audits.
  • Facilitates referrals to other providers as ordered by the physician and performs clinical activities accurately and timely.
  • Assists physician staff in writing and sending out patient communications and serves as a mentor for incoming staff.
  • Complies with all Ambulatory Services and Medical Center policies and procedures.
  • Ensures all medication cabinets are secured at all times and supplies are adequate for clinic function.
  • Communicates and coordinates care within the team of providers and support staff for relevant patient issues.
  • Reviews clinical information to request prior authorizations for specialty medications and processes DME orders.
  • Works with nurses/providers to appeal denials for medications/procedures by providing additional clinical information.
  • Reviews AVS/checklist/treatment plans with patients as directed by providers.
  • Participates in daily and end-of-day huddles to review clinic flow.
  • Prepares new patient referrals for clinical review and reviews patient education information with patients.
  • Familiarity with clinical research and assists researchers in preparing patients for visits.

Registration, Scheduling, and Insurance Management:

  • Supports and coordinates scheduling of outpatient clinic visits and procedures for multiple providers and services.
  • Registers patients in person or by telephone before initial appointment and updates patient information for returning patients.
  • Communicates Medical Center financial policies clearly to patients and ensures accurate data entries for registration and scheduling.
  • Coordinates providers' clinic schedules and obtains/verifies patient insurance eligibility.

Communication:

  • Demonstrates courtesy, common sense, and follow-through in all telephone communications.
  • Ensures a professional and helpful working environment and notifies providers of patient delays and service issues.
  • Communicates provider delays to the front office team and shares pertinent information with other health team members.
  • Identifies and communicates problems to nursing staff or appropriate supervisor and offers suggestions for change or improvement.
  • Assists patients with issues and complaints and utilizes Electronic Health Record (APeX) for documentation.

Operations Maintenance:

  • Maintains clean, well-stocked exam rooms and coordinates meal and rest periods.
  • Ensures supply standards and adheres to infection control procedures.
  • Participates in various Quality Improvement and Customer Service initiatives.
The hourly compensation range for this role is $31.90 - $39.82. An offer will take into consideration the experience of the final candidate, position requirements, AND the current salary level of individuals working at UCSF in a similar role.
For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications

  • Certification from an approved Medical Assistant program or equivalent.
  • Knowledge and abilities essential to the successful performance of duties.
  • 6 months experience in an outpatient practice.
  • Experience in processing Durable Medical Equipment Orders.
  • Ability to use EMR and perform chart abstraction.
  • Current American Heart Association CPR Certification.
  • Strong computer skills, including Microsoft Office.
  • Ability to prioritize work efficiently.
  • Excellent interpersonal communication and writing skills.
  • Excellent organizational and problem-solving skills.
  • Must be able to multi-task and be flexible in changing work assignments.
  • Familiarity with different insurances and resources available for patient medication.

Preferred Qualifications

  • Bilingual in Cantonese or Spanish.
  • Familiarity with EPIC.
  • Bachelor's degree in health or behavioral science.
  • Experience with insurance verification.
  • Experience in Pulmonary and Sleep.
