Departmental Overview
UC Berkeley's University Health Services (UHS) is a comprehensive campus-based health center providing fully accredited primary medical care, counseling and psychological services and innovative health promotion programs for students, faculty, and staff. The UHS provides on-campus medical and mental health care and coordinates off-campus care through a network of community specialists and hospitals. Departments serving students include general medical, specialty and urgent care clinics, counseling and psychological services, social services, laboratory, pharmacy, physical therapy, radiology and health promotion. In addition, the UHS administers a major medical insurance plan, the Student Health Insurance Plan.
The Physical Therapy department supports the mission of the UHS through the provision of physical therapy prevention and treatment services to the campus community. The unit emphasizes prevention of injury, biomechanical analysis, and post-injury or post-surgery treatment.

Responsibilities
Under the direction of the Physical Therapy manager, the Physical Therapy Aide/Clinic Assistant II is primarily responsible for providing clinical support and assistance to the Physical Therapists in order to ensure appropriate patient flow, high quality service, and smooth and efficient unit functioning. They also assist in providing patient care under the direct supervision of a Physical Therapist.
Specific duties include:
Clinic Reception/Administrative Support (50%)
Greets patients, verifies eligibility, accurately completes registration of patients using correct forms.
Answers telephone calls and refers to appropriate personnel, as needed, to meet patient needs. Takes clear and accurate messages.
Schedules/Reschedules patient appointments using a computerized appointment system to maximize clinic efficiency.
Works within specific guidelines to properly assess the status of patients in regards to priority in scheduling.
Maintains the waiting list to ensure cancelled appointments are filled.
Directs or escorts patients as necessary. Assures that patients leaving the clinic have appropriate instructions, forms, and referral information.
May need to obtain or communicate with Occupational Health about secondary authorizations for Occupational Health patients.
Assists in maintaining smooth clinic operations and optimal patient flow.
Demonstrates the ability to multi-task, set priorities, be extremely organized, and take initiative in carrying out duties.
Obtains medical records, x-ray results, and various forms, from internal and external sources, for Physical Therapists as requested.
Assists in developing, inputting, and maintaining provider templates in PnC clinic information system.
Coordinates and schedules meeting times for Physical Therapists.
Provides administrative assistance for Physical Therapists.
Assists with departmental projects including creating and editing handouts, supply cost sheets etc.
Ensures clinic handouts are fully stocked.
Patient Care (30%) - Under direct supervision of Physical Therapists
Anticipates the needs of the therapists and provides assistance, as required, to maintain clinic efficiency.
Assists with delivery of ultrasound, electrical stimulation, light, and paraffin, treatments to patients.
Prepares and administers heat and cold treatments as instructed.
Monitors patients in the performance of exercises prescribed by the Physical Therapist.
Monitors the safety of patients during exercise/treatments.
Reports any adverse/abnormal outcomes of treatment to the patient's therapist.
Clinic Maintenance and Supplies (15%)
Helps monitor the department for general order and safety and reports any concerns to manager.
Demonstrates the ability to use equipment safely and correctly.
Performs minor equipment checks and cleaning as necessary.
Anticipates the needs for commonly ordered clerical and clinical supplies and equipment. Monitors, orders and distributes supplies and equipment as necessary.
Folds, and distributes linens within the department. Communicates with Business Operations if supply numbers need adjustment.
Monitors gel and lotion stock. Fills bottles as needed.
Cleans treatment tables, equipment, mats, and balls with disinfectant.
Cleans treatment rooms and gym of soiled linen and items used throughout treatment.
Assists with Supervision and Guidance of Volunteers (5%)
Schedules prospective volunteer orientation.
Coordinates appropriate volunteer paperwork at the onset of each semester.
Completes the primary portions of volunteers' orientation.
Monitors volunteer activities and encourages appropriate participation.
Assists the Volunteer Coordinator in the evaluation of volunteers and in the preparation of letters of recommendation or reference when requested.
Customer Service/Communication
Demonstrates courteous and service-oriented behavior at all times when interacting with patients, families, UHS staff, and others contacting the department in person or via telephone.
Respects and guard's confidentiality of patients and other staff members.
Problem solves patient relations and actively addresses complaints, concerns and suggestions. Identifies and brings issues to the manager's attention.
Anticipates interpersonal conflict and intervenes to promote resolution of conflict. Deals with conflict on a one-to-one basis.
Demonstrates a strong working knowledge of UHS systems, services, and procedures so that patients receive accurate information and instruction.
Attends staff meeting or reads minutes when not able to attend. Takes meeting minutes. Actively participates in discussion, problem identification, and resolution.
Requests and accepts constructive criticism.

Other Duties as Assigned
Required Qualifications
High School diploma or GED required.
Strong interest in physical therapy.
Skilled at providing high quality customer service and effectively prioritizing multiple tasks and responsibilities.
Excellent interpersonal communication skills.
Strong written communication skills.
Excellent organizational skills with accuracy and attention to detail.
Ability to maintain confidentiality and use discretion while handling sensitive patient matters.
Computer literacy, including working knowledge of word processing programs required.
Familiarity with a clinical/medical setting, preferably in physical therapy.
Sensitivity to ethnic, cultural and lifestyle diversity.
Comfortable working in a dynamic, changing organization.
Preferred Qualifications
College degree preferred.
Knowledge of clinical information/appointment systems preferred.
Salary & Benefits
This is a 100% full-time (40 hours per week) non-exempt career position, which is paid bi-weekly and eligible for full UC Benefits.
Hourly pay for this role is commensurate with experience in the range of $22.73 - $26.51.
