Departmental Overview
UC Berkeley's University Health Services (UHS) is a comprehensive college health service providing fully accredited, primary medical care, counseling and psychological services, and innovative health promotion programs for students, faculty, and staff. UHS provides on-campus medical care and coordinates supplemental needs for off-campus care through a network of community specialists and hospitals. UHS manages the student health insurance and workers' compensation insurance programs.
Approximately 65,000 visits occur annually including Primary Care, Urgent Care, Occupational Health and Specialty Clinics. Services are designed to minimize the impact of illness, emotional distress and injury on studies and work. Responsibilities
Clinic Reception:
Greets patients, verifies eligibility, accurately completes registration of patients and verifies that compliance forms are complete. May handle more complex registration questions or patient complaints.
Schedules/reschedules patient appointments, using a computerized appointment system to maximize clinic efficiency. For Specialty Clinic: Schedules appointments for the speciality physicians.
Able to set priorities in balancing clinical operations/clinician support with administrative duties.
Directs or escorts patients as necessary. Assures that patients leaving the area have appropriate instructions, forms and referral information.
Reviews incoming faxes and distributes them to appropriate clinical personnel to handle.
May assist with running and clearing weekly unresolved appointments.
Assists with submitting tickets to IT for kiosk or computer issues.
Intake, Patient care and Checkout:
Documents appropriate health history and all patient interactions according to established guidelines.
Takes vital signs and rooms patient as per unit guidelines. Documents findings and reports abnormal findings to clinicians. May be responsible for additional vitals in special patient populations (ED).
Assists clinicians with examinations and procedures, using sterile techniques if indicated.
Fits, applies ace wraps, splints, slings, crutches and instructs patients in use of the same. Assists with more complex fitting issues.
Reports, intervenes appropriately and documents unsafe conditions and/or adverse patient conditions. Completes incident reports as per UHS protocol. May be a resource for intervening in an event as it is occurring.
Performs procedures according to department guidelines. May include wound care, suture removal, injections and placing TB skin tests with the appropriate level of supervision.
Administers special tests as needed by department (Ishihara plates, Snellen and Titmus Vision testing)
Reviews chart orders after client appointments and assures client receives appropriate paperwork.
Answers telephones, fields questions, takes clear and accurate messages and refers to appropriate personnel as required to meet patient needs.
Clinic Maintenance and Supplies:
Demonstrates ability to use equipment correctly and safely. Notices and reports any problems with equipment. May research parts and replacement products if equipment is broken. Acts as a resource for staff needing assistance with equipment.
Keeps inventory of supplies and restocks in assigned area, as needed, including patient education material. Holds responsibility for ordering clinic supplies and special orders.
Unpacks and shelves goods received: must be able to lift supplies.
Cleans rooms in assigned area as per protocol.
Process contaminated articles, prepares packs for sterilization, and sterilizes equipment as needed and per infection control guidelines. Serves as mentor/preceptor in training staff in equipment sterilization.
Other duties as assigned.
Complex/Advanced support:
Helps supervisors with yearly competency check scheduling and paperwork. Assists supervisor with training tool assessment and modification.
Assumes operations support role for department manager.
Assures time is allocated for special program responsibilities which must be balanced with clinic operations.
Skilled at organizing and prioritizing workload for timely task completion with frequent interruptions or competing demands.
Serves as an active participant in relevant and assigned UHS committees.
Assists in the update and maintenance of unit manuals.
Highly skilled in EHR Template System; builds and amends clinician templates as directed, works closely with department supervisor
Assists with daily MA schedule changes due to staffing needs.
Assists with training of entry level assistants/students.
Serves as a resource for MA I, MA II and trainees.
Assists in updating training tools.
EAP and Health Clearance Coordination: Prepares the necessary documents for EAP and health clearances. Responsible for ordering appropriate labs and obtaining appropriate vitals depending on requirement of specific forms. Lab orders are based on standing orders.
Assists with Complex patients care management work.
Other duties as assigned.
Required Qualifications
Graduation from high school (or GED) and appropriate experience, or an equivalent combination of education and experience. Skills, knowledge and abilities essential to the successful performance of the duties assigned to the position.
Must have full competencies checked off to be able to receive assignments for: check in, check out, back office, medical reception, procedure clinic, appointment office and advice.
Ability to work independently as a leader of a team oriented environment
Excellent customer service skills
Demonstrates solid knowledge of the diverse patient groups served at UHS and the scope of services our patient groups are entitled to based on eligibility
Excellent verbal and written communication skills
Highly collaborative (team) employee, excellent customer service skills
Ability to understand and follow written protocols for patient care
Demonstrates advanced utilization of medical terminology
Must understand and comply with HIPAA, and all regulations regarding the confidentiality of medical records
Well-developed people skills and the ability to remain calm under pressure; demonstrated sensitivity to ethnic, culture and lifestyle diversity
Must be literate with EHR systems and patient tracking
Demonstrates skills at prioritizing work and problem solving; ability to organize, coordinate and complete projects effectively and within Deadlines
Must be able to work in a collaborative manner
Licenses or certifications required:
Current BLS/CPR certification
Current Medical Assistant Diploma
Current CA phlebotomy certification (CPT1) (if performing phlebotomy)
Salary & Benefits
This is a full-time (40 hours per week), career position that is eligible for full UC benefits. This position is non-exempt and paid bi-weekly. The hourly pay for this role is commensurate with experience within the range of (1.0) $29.84 - (8.0) $34.27
