Job Summary
The training assistant will provide support for the Schaefer Center’s Maryland Certified Public Manager® Program, Maryland Equity and Inclusion Leadership Program, and other continuing education programs offered by the Schaefer Center. These programs are open to managers and executives who work for state, county, and municipal government agencies as well as nonprofit organizations.
This position will staff training sessions (via Zoom or in-person), support processing training program admission applications, support ordering and shipping program instructional materials, track and document participant attendance, and maintain the database of program graduates.
Key Responsibilities
Staff training sessions. The training assistant will host virtual training sessions, provide support to instructors during sessions, manage breakout rooms, and monitor the program session to resolve issues/answer questions.
For in person sessions, the training assistant will set up the room for training, compile training handouts provided by instructors, ensure instructional materials and supplies are in place, greet participants, and take attendance. In addition, the training assistant will provide technical and other administrative support as needed during the training sessions.
Provide support to program participants as needed including providing assistance with navigating the University of Baltimore website and learning management system, accessing course materials, and serving as a first line response for participant questions.
Track and document participant attendance and completion of assignments. Identify participants in need of makeup assignments.
Maintain instructional content provided by instructors on Canvas or similar LMS. Review Canvas sites to ensure accuracy and completeness of materials posted.
Order and ship books and other training materials to participants in online programs via Fed Ex or similar carrier, track delivery, and maintain accurate records of shipments for cost allocation.
Support application processing. Assist participants with completing online program applications as needed, review and track applications for completeness, follow-up with applicants regarding incomplete applications. Assist with preparing acceptance notification, tracking applicant acceptance, and collect data needed to process UBalt student IDs and request Sakai/Canvas access.
Other duties as needed.
Required Education and Experience
Education: High School Diploma or GED
Experience: Three years of directly related work experience.
Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Preferred Education and Experience
Education: Bachelor’s Degree in related field
Experience: Experience supporting professional development programs and data management experience.

Special hours of work required: Some evening and weekend hours may be required.
