Position Highlights

The Department of Medicine is seeking a highly motivated professional to help support multiple programs within the Department in the role of Program Coordinator, Events and Vice Chair Support (Administrative Support Assistant II). The Program Coordinator will assist in managing Medicine Grand Rounds, provide Administrative Support for the Vice-Chairs, be responsible for event planning, and will provide back up to the Chair's Executive Assistant. This position requires a high level of enthusiasm, superb confidentiality skills, and resourcefulness. The position requires one to have excellent verbal and written communication skills. The ability to work outside of regular business hours may be needed.

Duties & Responsibilities
  • Under guidance of Executive Assistant, provide assistance arranging and managing weekly grand rounds, ensuring each division is providing speaker information ahead of time.
  • Update Department website weekly with grand rounds information.
  • Obtain livestream link from Biocom on a weekly basis.
  • Obtain code weekly from the Continuing Medical Education office portal.
  • Update electronic shared file as speaker information is provided.
  • Arrange food service as directed.
  • Provide administrative support for needs of the Vice-Chairs (DEI, Faculty Development, Strategic Operations, Promotions and Appointments, Quality and Outcomes, and Research) as needed. Duties may include scheduling meetings, preparing correspondence, and gathering and compiling document information related to the vice-chair roles.
  • Responsible for planning, coordinating, publicizing, and implementing special events, including social events, employee recognition celebrations, conferences, and meetings under the direction of the Executive Assistant and Department Administrator.
  • Primary management of Room Scheduling for the Department of Medicine.
  • Back-up for Executive Assistant as needed.

Knowledge, Skills and Abilities

  • Ability to communicate effectively with different groups/individuals.
  • Ability to handle confidential and sensitive information.
  • Proficiency in Outlook, Microsoft Office and Zoom.
  • Strong organizational skills.

Physical Requirements

  • Ability to lift/move/transport items up to 25 lbs. for events on a frequent basis.
Minimum Qualifications
  • Three (3) years of relevant experience, or equivalent combination of education and work experience required.
  • High school diploma or equivalent, or equivalent learning attained through experience required.
Preferred Qualifications
  • Experience working in a higher education institution.
