Universal Data Inc is Hiring a Project Coordinator Near Orleans, LA

HOURS OF WORK:

40 hours per week

LEAVE ENTITLEMENT:

10-20 days per year

Director of Operations

Overview

The number one goal of everyone in our team is to Create Raving Fans. The Project Coordinator role plays an important role in making sure we are providing the best customer experience with their technology project through excellent communication and organizational skills.

The Project Coordinator is responsible for organizing and controlling project activities and for communicating risks, opportunities, and current state of project to his/her superior and/or other stakeholders. The Project Coordinator will also be responsible for assisting the PM on larger projects as needed.

Maintains an active level of awareness on project status, risks, and issues for all projects under his/her responsibility.

When help is needed, the Project Coordinator can turn to our Project Manager or Director of Operations for advice and guidance on specific questions.

RESPONSIBILITIES & TASKS

Customer management

  • Act as a point of contact for all assigned Project related activity
  • Deliver a clear and concise presentation for external project kick off meetings
  • Stay in constant communication with project stakeholders throughout the life of a project

USE of our psa/Tools

  • Use our PSA to manage and monitor all Project Tickets
  • Use our PSA to communicate to our PMO and Engineering team
  • Use our PSA to communicate actual vs budgeted hours to management staff

Teamwork

  • Work alongside UDI Project Manager on all aspects of projects
  • Communicate all statuses, issues, and risks through the Project Manager
  • Assist the Project Manager in scheduling, task management, and communications
  • Work with UDI's Sales Engineering (SE) and Project Manager for continuous process improvement
  • Work with SE's and Technical services team to understand how scoped solutions are being delivered
  • Establish a great rapport with project engineers to instill trust & communications for project scheduling deadlines and scope creep

Communication, Reporting & Risk

  • Execute UDI's Project Management Office (PMO) process
  • Follow Project Quality Control process to understand pitfalls of projects and how to better scope in the future
  • Assist to Identify risks to timeline, budget, and hardware/software orders and communicate to customer and internal team

Numbers and Metrics

  • Accountable for delivering project metrics including but not limited to: Budgeted vs actual time spent, task status and scheduling updates
  • Aid in the achievement of project margin goals
  • Project CSAT >97%

Skills and Attributes Desired

  • Proven working experience as a Project Coordinator
  • Excellent client-facing and internal communication skills
  • Excellent written and verbal communication skills
  • Great task manager and organization skills
  • Great Communications skills, founded in being a good listener
  • The ability to present a Scope of Work to a customer in a way that a non-technical person can fully understand the final goal
  • IT literate - Entry user level
  • A deep desire to deliver an amazing Client Experience
  • The ability to keep up with & adapt to the fast-paced IT world
  • Experience using a Ticketing system / RMM Tool and PSA software
  • Experience working for a Managed Service Provider (MSP) or IT Support Business.

Nice to Have

  • Candidate should have experience in IT service-based company
  • Experience and knowledge of working with the Microsoft 365 Platform
  • Entry Level Project Management certification such as CompTia Project or CAPM
