The United Way of Massachusetts (UWMB) Bay is seeking a Coordinator, Development Systems who will embrace the work of the UWMB Development team becoming a more diverse and inclusive department through the practice of community-centric fundraising principles. The Development department's charge is to unite, grow, and strengthen United Way's public and private partnerships, and leverage those partnerships to generate significant resources -- financial, talent, time, and connections -- with an emphasis on unrestricted support, to enable everyone across races and ethnicities to share in the wealth, knowledge, and resources available in our region.

POSITION OVERVIEW

The Coordinator, Development Systems will support and administer fundraising infrastructure and department-level systems resources to help nurture and grow investments in United Way's work and increase its impact in the region. This is an outstanding early career opportunity for a highly motivated professional to help build and maintain strong fundraising systems that enable staff to strategize around and execute the organization's philanthropic goals.

This entry level role is positioned to learn and develop skills in several fundraising systems, data analytics, and research. The organization is in the process of evolving our Customer Relationship Management (CRM) system and this position will be directly involved in preparing the Development department for change and supporting the transition, implementation, and adaptation processes. The Coordinator, Development Systems will be part of the building of complex systems from the ground up.

While this role is internally-facing, relationship building and interpersonal will be essential to ensuring successful integration and operationalization of systems.

POSITION OVERVIEW: 

The Coordinator, Development Systems supports the Development Systems team in ensuring best-in-class development systems. This role will assist in the implementing, monitoring, and delivering continuous improvement in fundraising and constituent data and reporting systems. This position will also be responsible for executing systems- and data-based processes that create efficiencies across the department and the organization. Under the guidance of the Director, Development Systems, this role works to ensure that Development team has access to clear, current, accurate, and relevant data and reports they need to understand their progress and achieve their stream goals. Success in this role will lead to: effective management of departmental progress towards goals; improved annual and multi-year pipeline projections; as well as improved donor acquisition, retention, and growth across the frontline fundraising streams. This position reports to the Director, Development Systems.

KEY RESPONSIBILITES:

Database Management

  • Serve as a point-person to support Development's use of database management systems (Andar, Microsoft Teams/SharePoint, etc.) and work closely with the Andar Database Administrator.
  • Act as additional Andar support for Development Teams when needed.
  • Become and stay knowledgeable by participating in trainings, utilize help guides and videos to gain deeper knowledge, field questions and coordinate with IT to get answers, as appropriate.
  • Research modules, systems, processes, and best practices that can be leveraged in creating a more effective and efficient Development Department.
  • Using United Way databases, compile, sort, and format data for reports, cross check reports for discrepancies, and build data mining operation (DMO) reports.
  • Create and maintain database dashboards for Development Teams.
  • Monitor various data quality reports to keep information up to date for records, make corrections to existing records, and manage consistent collection of data from donors and sponsors across the department.
  • Track progress against reporting requests, research requests, and other systems-based projects.
  • Compile data for mass uploads and complete data entry assignments as requested to maintain data quality.

Administration

  • Provide administrative support to Development staff as needed, including shared responsibility for agenda development and notetaking for the Development Strategy, Systems, and Operations team.
  • Assist with volunteer and donor communications and various projects as assigned.
  • Create and prepare various forms of correspondence (letters, memos, large mailings, emails, etc.).
  • Maintain filing systems and manage periodic back-ups of the public drives used by Development staff.

Customer Service

  • Respond to donor, volunteer, and staff inquiries while conveying a professional manner along with a willingness to help.
  • Provide reliable, accurate, and timely responses to questions from internal and external customers.
  • Receive and respond directly to requests and questions from donors, volunteers, other staff and others as needed.
  • Research and verify information to assure accuracy and reliability of data.

Development Support

  • Work with Corporate Partnerships, Individual Giving, Stewardship, and Finance staff to ensure funds are designated properly in Andar.
  • Work closely with and parallel to Development Operations to ensure the department-wide operationalization of data, reporting, and general systems procedures.
  • Prepare finance reconciliations, when appropriate, to ensure funds are accurately input into Andar.
  • Lead the Development effort of completing the United Way Worldwide DB2 Reporting.

REQUIREMENTS:

  • Commitment to Diversity, Equity, and Inclusion and to the mission of the United Way of Massachusetts Bay.
  • Minimum 1-2 years of data entry, data analysis, reporting, and/or development support experience in either the private or non-profit sector.
  • Experience with data management systems and or customer relationship management database preferred.
  • High proficiency in a Microsoft Office environment required, specifically Excel. Experience with data management systems strongly preferred.
  • Strong organizational skills with demonstrated ability to manage and prioritize multiple tasks and priorities. Ability to work independently and in teams a must.
  • Exceptionally detail oriented.
  • Commitment to accountability and execution.
