Description:
The Office/Human Resources “HR” Adminposition requires a motivated individual with a strong sense of integrity to foster and promote our company culture through their personal positive attitude while providing excellent customer service to our guests, vendors, and employees.
Location: San Jose, CA (Headquarters)
Reports to: Corporate Office Manager
Responsibilities:
Office Support
Front Desk management including greeting guests, checking in vendors, and answering phones.
Manage and order office supplies.
Order lunch, coordinate food deliveries and set up.
Manage supplies in all conference rooms and breakrooms.
Assist with company events as needed.
Manage mail distribution
Provide internal shipping and courier coordination, i.e. FedEx, UPS, Modern Day Courier etc.;
Scanning and filing
Order Business cards and nameplates
Other office support duties as assigned
HR Support
Assist with new hire onboarding process and communication.
Update job numbers in HRIS for job costing.
Monitor the HR email box and provide responses.
Perform other admin duties as assigned.
Monitor and complete unemployment claims.
Assist in completing verifications of employment.
Assist with maintaining human resources records.
Report on Anniversaries and Birthdays monthly and send communication.
When applicable, initiates reference checks for new hires.
Assist the HR/Payroll department as needed
Works on other HR projects as assigned.
Required Skills/Abilities:
Excellent verbal and written communication skills.
Excellent organizational skills and attention to detail.
Proficient with Microsoft Office Suite or related software.
Accurate data entry skills and detail oriented
Problem solver who isn’t afraid to ask questions
Good verbal, written and customer service communication skills.
Ability to multi-task in complex working environment with accuracy and proficiency.
High degree of confidently.
Qualifications and Experience:
At least 1 year of administrative experience (or relevant experience) in a fast-paced, collaborative working environment. Preferably in Human Resources. Construction industry a plus.
