With our work guided by Jewish values, the Federation operates as a community foundation, partnering with individuals and families to implement their charitable visions as well as to connect and strengthen the Jewish non-profit sector. In 2022, the Federation granted and loaned more than $245 million, making it the single largest funder of Jewish causes in the state of California. 

The Federation is seeking a highly motivated and qualified individual with a variety of skill sets who wants to join a team working to build a new model of 21st century and next generation Federation engagement. 

ROLE SUMMARY

We are excited to offer an opportunity for an experienced and enthusiastic People Operations Associate to join our small but mighty team. In this pivotal role, you, along with the Senior Manager of People & Talent, will be instrumental in crafting an enriching workplace culture, spearheading strategic HR initiatives, and fostering an environment where our employees can thrive and contribute to our organization’s success. As our People Operations Generalist, you will play a crucial role in administering and optimizing our organization's people operations functions. This role is a true generalist role that will provide the opportunity to be involved in every facet of People Operations, including but not limited to payroll, benefits administration, project management, onboarding, policy implementation, compliance, and documentation. The ideal candidate is a strategic thinker, detail-oriented, possesses strong analytical and problem-solving skills and is excited to be a critical partner in project management.

This role is a full time, hybrid position with two days in the office in San Francisco.

ESSENTIAL FUNCTIONS

  • People Operations: Identifies opportunities for streamlining People & Culture processes and developing efficient workflows.
  • Onboarding/Offboarding: Prepare workflow, documentation, and communications for smooth new staff onboarding process, coordinating with cross-functional departments to deliver an exceptional first-day experience; prepare workflow, documentation, and communications for smooth offboarding process, coordinate and document exit interview findings.
  • Performance Management: Manage performance review process in HRIS.
  • Compensation: Assist with compiling accurate compensation data for submission to compensation market data surveys; assist with updating of job architecture structure and supporting tools and resources for Managers and employees; field general compensation questions from Managers and employees. 
  • Leaves of Absence: Coordinate leave of absences with LOA administrator and employee; provide LOA documentation to employee. 
  • Payroll/Benefits: Be the primary backup for payroll processing, including updates to pay, time off pay, expense reimbursements, and benefits changes; oversee employee benefits and wellness programs; assist with benefits open enrollment timelines, deliverables, and communications. 
  • Employee Experience: Suggest ways to improve employee experience as well as the efficiency of People operations and communications 
  • Compliance: Ensure compliance with local and national regulations and applicable employment laws, and update policies and procedures when necessary; enter employment changes data into HRIS and audit for accuracy and compliance; pull reporting from HR systems and synthesize summary; serve as a primary contact for reporting workplace injuries and illnesses and work with workers’ compensation vendor to manage claims; respond to unemployment claims. 
  • Training: Support the development of training and development initiatives; track and audit completion of legal and Company-required training. 
  • Employment Policies and Practices: Assist in developing and executing policies providing guidance and interpretation to managers and employees; support annual Employee Handbook review and updates based on compliance and org-specific policies. 
  • Talent Acquisition: Serve as an integral partner in managing recruiting activities and assisting with scheduling interviews and managing the Applicant Tracking System for the hiring team. 

Requirements

 QUALIFICATIONS, KNOWLEDGE, SKILLS, ABILITIES

  • Empathetic and engaging: You connect well with employees and understand their needs. You have strong interpersonal and teamwork skills.
  • Agile: Ability to operate in ambiguity and manage your workload. You can independently prioritize and ensure all needs are met. You understand labor law practices in CA. Experience with multi-state compliance requirements and workplace investigations is a plus. 
  • You demonstrate a growth mindset, with a focus on continuous learning and professional development.
  • 3 Years of experience with HR/Payroll/Benefit platforms and tools with experience in implementing and optimizing HRIS systems.
  • In-depth knowledge of FLSA regulations and guidelines and their practical application in People Operations 
  • Knowledge of and appreciation for the Jewish community, its customs and practices (preferred). Certifications such as PHR and SHRM-CP are highly valued. 

EDUCATION AND EXPERIENCE 

  • Bachelor’s degree in HR, business, or related field 
  • 3 years of experience in HR operations, experience working in a rapidly growing and always changing organization is a plus.
