Summary:
The Human Resources Assistant plays a key role by providing support to the Human Resources Department and serving as the first point of contact for the department. The Assistant handles routine inquiries on internal policies, systems and general human resources information for the hospital. Also, the Assistant supports highly visible initiatives, programs, and events related to the hospital. The Assistant maintains a high level of professionalism, confidentiality, and sound judgement at all times. Effectively handle and manage all HR Administrative support.
Responsibilities:
1.Greet visitors and teammates in person and via phone using excellent customer service skills. Maintain the Human Resources reception area to provide a welcoming, neat and professional space for teammates, candidates and other visitors. Ensures backup front desk coverage when away from the desk. Responds to general inquiries and issues relating to payroll, teammate benefits, recruitment, and the interpretation of policy or procedure.
2.Ensure onboarding, new hire documents, and additional forms are complete; reviewing all new hire files for compliance and completion prior to new hire start date. Assist with credentials and ensure they are updated and entered into the appropriate systems. Create files and scan employment documents (licenses, background check, reference reports, and other teammate documents) into teammate electronic file system. Maintain the integrity and confidentiality of files and records. Perform periodic audits to ensure all required documents are correct, collected, and filed appropriately.
3.Responsible for the timely processing and coding of department invoices accurately and in a timely manner. Track expenses in the fiscal year budget spreadsheet.
4.Maintain HR time and attendance records are complete and accurate for payroll processing.
5.Routes incoming and outgoing mail and packages for the HR department on a daily basis. Creates and/or assists with mass mailings, as needed. Responsible for ordering office supplies and serves as the point of contact for equipment maintenance requests or facilities issues.
6.Maintain department meeting schedule and HR conference room scheduling. Schedule monthly HR department meetings; create meeting agenda.
7.Track terminations in the appropriate access request systems.
8.Maintain missed benefit deduction premiums and take appropriate action as required. Monitor delinquent education account spreadsheet, prepare and send notice to appropriate teammates.
9.Supports the administrative needs of the HR Department as needed. This includes creating and organizing spreadsheets and presentations, preparing expense reports, copying, faxing and other routine administrative duties.
10.Assist with Human Resources programs, projects, and events such as annual or on-going teammate appreciation events as needed. This includes logistical planning, communication, event promotion, ordering and preparing documents or materials, site reservations, hospitality items, internal promotional materials, and technology support, etc.
11.Other assigned duties and projects as requested.
