UCLA is Hiring a Sales and Services Fund Manager Near Los Angeles, CA
Under the direction of the Director Business Administration (DBA), serve as the Sales & Service Senior Fund Manager for Center X, a large, complex educational research and professional development center for educators in the School of Education and Information Studies. Assignments are given in terms of center goals and objectives by the Director Business Administration (DBA.) Work is performed in accordance with university accounting procedures and all federal, state, and private granting agency regulations. The Senior Fund Manager Manger will manage an annual budget of approximately $6M over various subject matter projects related to Center X professional development services and conference activity. The incumbent is responsible for highly complex technical financial services for Center X projects, which include income/recharge accounts and project-based gift accounts while promoting compliance with university policy and school guidelines. Other responsibilities include the development and dissemination of monthly detailed analysis and financial reports to provide coherent and concise financial data to project directors and faculty in the unit. Incumbent is also responsible for exhibiting interpersonal skills needed to establish and maintain a dynamic and effective working relationship with faculty, staff, students, other campus units. Percentage of Time: 100 Shift Start: 8:00 am Shift End: 5:00 pm Qualifications for Position 21 Records Qualifications Required/Preferred 1. Demonstrate working knowledge of accounting principles and computerized purchasing and accounts payable systems. Required 2. Ability to generate detailed monthly financial reports using advanced features of Excel that compare budgeted to actual personnel effort and separate costs associated with sub-projects and major expense items. Required 3. General office management skills to oversee operations and implement efficient office systems. Required 4. Ability to prepare budgets for extramural funds and general funds in accordance with University and funding agency guidelines and policies. Required 5. Word processing skills to prepare forms, correspondence, procedure manuals, and reports with speed and accuracy. Required 6. Ability to independently compose, edit, and/or copyedit materials prepared using proper grammar, syntax, spelling and punctuation. Required 7. Independently determine appropriate personnel to handle action items, monitor status of tasks and follow through to completion. Ability to conduct effective small group meetings with project support staff to plan, schedule, and coordinate workflow. Required 8. Ability to deal with confidential and sensitive information with discretion, and to maintain professional working relationships with sponsors, industry, government, the UC and other academic and corporate institutions. Required 9. Excellent interpersonal skills, communication skills, and usage of language to clearly convey information verbally and in writing. Ability to present persuasive arguments and use negotiation skills to achieve mutually agreeable solutions. Required 10. Knowledge of sponsored research administration sufficient to understand the proposal process, prepare appropriate forms associated with a proposal, and coordinate submission with cognizant University offices. Required 11. Demonstrated ability to work as part of a team and assist other administrative support staff with clerical and administrative tasks as needed. Required 12. Ability to accept delegated work, validate expectations, problem-solve obstacles, and follow-up to completion and/or report status of delegated tasks. Required 13. Ability to identify methods increased efficiency in working operations and propose modifications. Required 14. Ability to work independently, meet fixed deadlines, and follow through tasks to completion. Required 15. Demonstrated ability with University on-line financial systems/ledgers including PAC, TOF, and OFSR. Preferred 16. Working knowledge of University policies and procedures such as accounting, travel, purchasing, facilities, mail and expedite tasks with associated central offices. Preferred 17. Demonstrated ability to efficiently use Macintosh and PC computers with advanced working knowledge in Excel and Microsoft Project or equivalent project management software; demonstrated knowledge of Word, PowerPoint, and FileMaker Pro. Required 18. Working knowledge of equipment management, and security systems in a large University research environment. Required 19. Ability to work responsibly and accurately with detailed information including: financial data and calculations, contract clauses and performance dates, and other numeric narrative information. Required 20. Strong organization skills to set priorities and work with frequent interruptions. Required 21. Knowledge of University staff personnel policies and procedures.
