Tucson Plastic Surgery is Hiring a Practice Manager Near Tucson, AZ

We are looking for a poised Practice Manager with excellent communication skills, attention to detail, strong follow-through ability, and a cheerful disposition to join our industry-leading Aesthetic and Reconstructive Plastic Surgery team. The Practice Manager will oversee all aspects of the office: day-to-day operational, marketing, and financial functions ensuring that daily systems are in place and operating effectively to provide excellent patient care, superior service, and optimal practice productivity and profitability.

The role is an executive-level business position responsible for all aspects of the practice and day-to-day operations.

General Requirements of the Practice Administrator

  • Bachelor’s degree as a minimum
  • 2 years surgical admin/operations experience
  • HR experience - all aspects
  • Flexible, can pivot/multitask
  • Marketing/sales experience
  • Revenue cycle, financial spreadsheets, data comparisons
  • Excellent communication, time management, and problem-solving skills

Responsibilities of the Practice Administrator

  • Primary: Chief morale/spirit office

Operations & Finance

  • Implement current and new policies and procedures, update as needed, and review with staff
  • Support preparation of annual budget, liaison with accountant
  • Prepare a review and analysis of monthly financial statements against Business & Sales Plan
  • Ensure daily receivables are reconciled
  • Review vendor invoices for accuracy and mark for posting
  • Ensure staff is scheduled appropriately to balance between patient care and other responsibilities
  • Liaison for all accounting and legal matters

Personnel Management/HR

  • Approve, set up and manage PTO, Benefits, and Payroll
  • Human Resource Management: Hiring, Onboarding, Evaluations/Promotions, Mentoring, Scheduling, Supervising
  • Co-Coordinate daily huddle and weekly staff meetings
  • Recruit, hire, and terminate if necessary
  • Meet one-on-one and in groups with all office staff to provide feedback, training, areas of improvement, etc. Maintain accurate inventory counts and levels

Office Management:

  • Purchase office supplies and products, and maintain proper stock levels
  • Produce monthly reports on metrics for clinicians, new patients, and retention
  • Oversee that leads and new patient metrics are being tracked properly
  • Resolves escalated staff and patient complaints
  • Closely analyze business metrics and around sales, profit, lead capture, and conversion
  • Work closely with outside consultants, including marketing (SEO, Social Media, etc.)
  • Develop and Maintain core relationships with vendors, sales reps to ensure success with products/services/technology and utilizing all savings available
  • Maintain Function Matrix of management and operations and who is responsible
  • Responsible for practice management software collaboration with vendor and staff, updates and inputs.
  • Act as the liaison to all surgical facilities and referring offices
  • Hospital credentialing for all clinical staff
  • Maintain a safe office
  • Greet patients, answer a high-volume of incoming phone calls, and deliver concierge service
  • Observe Patient Care Coordinators to ensure expectations are being met
  • Be available for after-hours emergencies
  • Designs/implements and/or updates: patient scheduling protocols policies and procedures, telephone systems, text messaging and online review systems, EMR templates and consents, computer and technology updates, manage staff scheduling, and more
  • Assist with the smooth flow of all aspects of practice operations.
  • Perform other duties as required
