Job Description
Responsible for overseeing all aspects within their portfolio’s operations, with a focus on Net Operating Income (NOI). Drives results while maintaining strong occupancy, with resident retention and expense control. Responsible for developing, mentoring, and leading high-performing operations teams.
Financial Growth
a. Ensures their portfolio achieves and executes all financial goals set forth by the Vice President of Operations and Director of Finance, including but not limited to, ensuring each property peforms favorable to budget. Additionally ensures each property demonstrates year-over-year improvement with regard to the following;
i. Net Operating Income
ii. Rental Rate Income (including monitoring and minimizing rent concessions and delinquencies)
iii. Other Income
iv. Operational Expenses
2) Portfolio Management
a. Meets all goals set forth by the VP of Operations, within their portfolio, including:
i. Exceeding market occupancy levels for each assigned individual property ensuring occupancy levels required to ensure budget expenses are met.
ii. Exceeding current levels of resident retention based on historical averages and market conditions for each assigned individual property while ensuring that retention increases year-over-year at each property.
iii. Improving tenant satisfaction by developing, executing and monitoring a program designed to ensure that levels of tenant satisfaction is increased year-over-year at each property.
iv. Enhancing G maintaining property overall curb appeal and first impression of assets.
b. Develops a practical and strategic plan of action to achieve those goals through the following means:
i. Assist leadership team in developing efficient and attainable budgets for all individual properties.
ii. Analyzing and understanding market conditions in order to successfully develop and approve rental rates and incentive strategies.
iii. Designing and implementing customer services programs aimed at increasing resident retention portfolio-wide.
iv. Implementing cost control measures portfolio-wide through systematic and planned programs designed to increase operational efficiency.
c. Implements and enforces these strategic goals by assisting in and facilitation the development of effective systems for monitoring, in real time, the following categories:
i. Revenue and Net Operating Income;
1. Occupancy
2. Delinquency
3. Retention Rates
4. Tax Credit Compliance
ii. Cost Control and Operational Efficiency
1. Monitors and evaluates cost and expense line items in order to account for variances and make strategic cost control decisions.
2. Establishes portfolio-wide inventory system and determines necessary portfolio-wide inventory purchases.
3. Evaluates and monitors portfolio-wide contracts with vendors and service contractors in order to make appropriate contract recommendations.
3) Team Management/Personnel
a. Makes regular visits to each property in order to communicate management goals, expectations and drive key performance indicators/metrics set forth for the team.
b. Supervises the Property Managers and is directly responsible for their development, improvement and overall performance regarding the following:
i. Ensures the implementation of goals and programs set forth by the VP of Operations are properly executed and adhered to by the Property Managers.
ii. Conducts and writes annual performance reviews for each Property Manager, evaluating their performance and outlining and enforcing a plan for short and long-term development and improvement.
iii. Provides ongoing constructive feedback and creates achievable monthly goals for each Property Manager.
c. Adheres to Company’s Policies and Procedures regarding personnel management.
d. Works closely with Property Managers to ensure the needs of each property are met in a prompt manner, including assisting with property coverage needs or providing on-site management support directly.
4) Communication
a. Communicates regularly and effectively with the Property Managers addressing any needs or concerns regarding the property or staff.
b. Communicates effectively and positively with residents to enhance customer satisfaction and
increase retention.
c. Clearly conveys messages, ideas, and expectations to office staff, maintenance team, residents and vendors.
d. Ensures all elevated resident complaints are handled in a professional, considerate, and efficient
way.
e. Meet with the VP of Operations weekly (scheduled meeting), and on a monthly basis (Financial Reviews) to formally review objectives, establish and assess deadlines, evaluate progress and reach consensus with regards to the above goals, financial status, and future growth of RIG and Trinity Management Company.
f. Communicate with the VP of Operations regularly and effectively regarding the operations and
status of the assigned portfolio.
SKILLS/REQUIREMENTS
1. Excellent written and verbal communication skills
2. Tax Credit/LIHTC knowledge
3. Portfolio Management G Leadership Experience Required, preferred 3-5 years . Minimum of 5 years on-site Property Manager experience.
4. Microsoft Excel G Yardi Software experience preferred.
5. College Associate/Bachelors Degree Preferred.
6. Have a reliable means of transportation and a valid driver’s license that is not expired, suspended or revoked
7. Flexible schedule – must be able to work weekdays, evenings, weekends and some holidays
8. Must be willing and able to occasionally travel, including working at other property locations or overnight trips.
9. Communicates in English clearly and concisely – both orally and in writing.
