Tribal Diagnostics LLC is Hiring an Operations Coordinator Near Oklahoma, OK

Tribal Diagnostics is searching for a part-time Operations Coordinator. The hours will be Monday through Friday from 10am - 3pm.

Job Summary:

As the Operations Coordinator at Tribal Diagnostics, you will play a crucial role in assisting the Operations Lead in overseeing and optimizing various aspects of our operations. Your responsibilities will include administrative support, coordinating logistics, and ensuring that operations run smoothly.


Duties/Responsibilities

  • Provide administrative assistance to the Operations Lead, including scheduling, document management, and correspondence with pickups, new NCRS, and Interface projects.
  • Maintain records, reports, and documentation related to operations, inventory, supply management, pickups, NCRS, and Interface projects.
  • Coordinate logistics for the Patient Service Center, warehouse, and supplies management, including scheduling and tracking deliveries and shipments and specimen pickups.
  • Assist in maintaining an organized and efficient workflow within these areas.
  • Assist in monitoring and managing inventory levels for medical supplies, reagents, and equipment.
  • Perform routine inventory counts and reconcile discrepancies as needed.
  • Collaborate with team members within the Patient Service Center and warehouse to ensure smooth operations.
  • Assist in resolving operational issues.
  • Assist in implementing and maintaining quality control measures to ensure the integrity and accuracy of laboratory samples, equipment, and supplies.
  • Communicate with vendors regarding order status, delivery schedules, and any issues related to pickups, supplies or equipment.
  • Maintain accurate and up-to-date records, including personnel files, inventory logs, and operational documentation.
  • Adhere to safety protocols and ensure that employees in the Patient Service Center and warehouse also comply with safety guidelines.
  • Work with vendors

Education and Experience:

  • High school diploma or equivalent; associate or bachelor’s degree in a related field is a plus.
  • Previous experience in administrative support or operations coordination.


Required Skills/Abilities:

  • Strong organizational and time management skills.
  • Proficiency in using office software and inventory management tools.
  • Excellent communication and interpersonal skills.


Physical Requirements:

  • The ability to move within the laboratory, Patient Service Center, warehouse, and office areas to oversee operations, interact with staff, and conduct inspections.
  • Frequent standing and walking may be required to oversee daily operations, provide guidance to staff, and perform visual inspections of the facilities and supplies.
  • Occasional lifting and carrying of supplies, equipment, or packages, which may involve loads of up to 50 pounds.
  • Effective verbal and written communication skills to interact with staff, vendors, and other team members.
  • The ability to work under pressure and manage multiple tasks and responsibilities effectively.
  • Adherence to safety protocols and the ability to ensure the safety of employees working in the Patient Service Center and warehouse.
  • If required, the ability to operate a vehicle to visit supplier locations, inspect warehouse facilities, or address operational needs.
