Job description

Main Purpose

Primary responsibilities include preparing and submitting various proposals (RFP, RFI, and RFQ) while ensuring proposals are created effectively within all deadlines. This involves coordinating the bid process, preparing the technical response, financial analysis, presenting strategy to management for review, and submitting all required information based on specific proposal requirements. Often requires working alongside marketing, operations, and finance to enhance the quality of bid submissions. The successful preparation of the proposals is an essential part of sales and business growth resulting in multiyear contracts.

The role

Key Job Responsibilities

  • Detailed review of Request for Proposals (RFP)/Solicitations/Request for Bids (RFB).
  • Determines overall operational and pricing strategy for the project.
  • Distributes RFP requirements to team members and obtains required information from other departments.
  • Generate and review competitor pricing estimates, sales estimations, and contract requirements to submit successful bid submissions.
  • Obtains vendor/subcontractor quotes when necessary.
  • Respond to RFP clarifications, best and final request, and contract modifications.
  • Prepare and submit vendor pre-qualification requests and customer Requests for Information (RFI) documents.
  • Conduct proposal reviews with Directors and Executives within the organization to discuss pricing strategy and contract requirements ensuring accurate completion.
  • Prepare and submit “Final Edition” proposals according to details contained within the RFP which may include submitting via customer portal, shipping hard copy, and various other methods of final submission.
  • Organize and update pending bid submissions and executed contracts ensuring successful management of bids and proposals.
  • Assist Sales in the completion of various customer required vendor forms that require confidential company information, health & safety, and regulatory information.
  • Daily search for suitable RFPs (e.g. using BidSync/SAM and other sources)

Qualifications

  • Strong writing skills
  • Strong Excel skills
  • Ability to meet tight deadlines
  • Communication and organization skills
  • Microsoft Suite experience, Adobe PDF preferred
  • Experience in the fields of waste management and/or project management is preferred
  • Financial analysis experience preferred
