Town of Johnstown is Hiring an Administrative Assistant II Near Johnstown, CO

Incumbent will support two departments: Engineering and Planning & Development. These two departments work closely and specialize in the review of new projects and development proposals. This position will report to both the Engineering Director and the Planning & Development Director, and will support both departments equally. There is substantial crossover between the two departments; however, there are also tasks specific to each one. For example, in support of the Planning & Development department, the incumbent will be responsible for preparing and distributing notices for public meetings, which must be done pursuant to strict state and local laws. Success in this position demands a high level of organization and detail. Typical responsibilities may include but are not limited to data entry; setting up and attending meetings; taking and transcribing minutes of meetings; conducting moderately complex research; preparing reports; preparing and proofing original correspondence, performing basic accounting functions, and communication with internal and external customers. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The following statements are illustrative of the essential functions of the job and do not include other nonessential or peripheral duties that may be required. The Town of Johnstown retains the right to modify or change the duties or essential functions of the job at any time.

  • Performs various clerical duties, utilizing standard office equipment, to include: screening incoming calls; taking and transmitting messages; distributing mail; preparing and submitting timesheets; filing; making photocopies; typing; and, word processing. 
  • Prepares and maintains databases, reference manuals, case files, records, correspondence, etc.
  • Prepares and mails various letters and notices for public meetings, pursuant to state and local law. 
  • Monitors and maintains office inventory and supply levels; prepares purchase requisitions; coordinates the procurement of supplies and/or equipment with applicable department. 
  • Performs basic accounting functions including cash receipting, tracking and monitoring budgets, and purchase requisitions. 
  • Assists with monthly budget reconciliation by researching and obtaining receipts and invoices. 
  • Coordinates training, conference and travel arrangements for staff; coordinates onsite training.
  • Assists with public information requests. 
  • Coordinates special events as assigned.
  • Maintain and manage the Planning & Development and Engineering file rooms in a neat and organized manner. This includes filing all plans and documents for various projects.
  • Coordinates signatures on official documents including internal staff and external agencies.
  • Assists with document imaging/scanning.
  • Coordinates meeting invitations and room/virtual reservations.
  • Perform other duties of a similar nature as needed.
  • May occasionally assist building permit technician and covers shifts as needed.
  • May occasionally perform front desk/receptionist duties as needed.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of:

  • Computer software including word processing, spreadsheet and database applications including building and planning workflow management systems;
  • Communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction;
  • Establish and maintain effective working relationships with contractors, engineers, property owners, other departments and the public.

Skills of:

  • Monitoring budgets; 
  • Compiling and analyzing data;
  • Using computers and related software applications;
  • Filing; typing; maintaining office supplies and inventory;
  • Providing customer service; 
  • Prioritizing work and performing multiple tasks simultaneously; 
  • Entering information into a database; 
  • Maintaining various records and files; 
  • Preparing meeting agendas and minutes;
  • Preparing and distributing various letters and notices;
  • Communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.

Abilities:

  1. This position requires reaching, typing, grasping, talking, hearing, seeing and repetitive motions.
  2. While performing regular duties the employee must occasionally carry, pull, push, or lift up to 20 pounds. 
  3. It is essential that the employee be physically able to operate a variety of computer and office equipment successfully in order to fulfill the essential functions of this position. 
  4. Ability to conduct activities involving approximately walking 10% of the time, standing 10% of the time, and sitting 80% of the time.
  5. Driving: Must be capable of driving a standard pick-up truck or other similar vehicle.

QUALIFICATION REQUIREMENTS:

  • High School Diploma or G.E.D., with one year college coursework, and four years of general clerical or customer service experience; or, any equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
  • Valid Colorado driver license
