SUMMARY OF POSITION:

This Digital Solutions Coordinator is responsible for providing professional administrative and project support to the Digital Solutions team. The incumbent also supports the team by researching digital products and services, testing digital banking platform enhancements and upgrades, and troubleshooting escalated member inquiries. 

The Digital Solutions Coordinator supports the Digital Solutions team and serves as backup for many functions within the Digital Solutions team. 

PRINCIPAL ACCOUNTABILITIES AND FUNCTIONS:

  1. Provides professional and efficient administrative and project services for the Vice President of Digital Solutions in support of credit union operations and supports the Digital Solutions team.
  2. Performs administrative, technical support, and clerical assignments; recommends and/or establishes priorities and coordinates activities as assigned. Formats and types reports, presentations, proposals, and correspondence.
  3. Acts as a representative for Digital Solutions in reference to completing departmental assignments and collaborating with other departments and work units for information gathering, and supporting operational problem solving for digital team members.
  4. Maintains schedules, confirms meetings and appointments, assures a room is reserved and notifies appropriate parties of the meeting time; collects, organizes and compiles the agenda items. Orders supplies and sets up conference room, as needed, in support of team. Records minutes, as necessary. Assists the Digital Solutions Team by performing daily functions, on a recurring weekly basis, for department coverage.
  5. Updates daily/weekly/monthly reports and statistics pertaining to Digital Banking products and services (i.e. - mobile wallet tokenization report, monthly mobile app reviews, monthly chatbot reports, etc.)
  6. Performs routine photocopying, mail distribution, routing correspondence to the appropriate parties. Responsible for maintaining an inventory of office supplies within established budget constraints. Orders inventory as necessary. Manages files and records to provide accurate documentation in support of Tower operations assuring that all files are organized, retrievable, and kept secured.
  7. Performs special projects and research in support of strategic initiatives. Provides assistance to Digital Solutions team with onboarding new vendors, in support of projects, and updating documentation for existing vendors.
  8. Oversees yearly budget preparation for Digital Solutions; coordinates accounts payable, monitors and maintains monthly tracking of actual to projected budget expenses to stay on plan. Assists in the preparation of the budget by keeping records of all expenses spent through the current year and submits accruals prior to end of year, for relevant expenses. Reviews, verifies and reconciles billing statements for Vice President of Digital Solutions and forwards to Accounts Payable dept. Assists the Vice President of Digital Solutions in the development of the budget based on previous years’ expenses and anticipated expenses.
  9. Maintains administrative workflow and creates/revises policies and procedures by analyzing operating practices; reviewing technological requirements and evaluating software; and implementing appropriate changes. Responsible for the maintenance of department manuals including policies and procedures and Disaster Recovery. Handles updates to Business Continuity Plan with input from the Digital Solutions team members. Ensures all files are organized and kept secure and confidential at all times.
  10. Responsible for coordination of digital campaign promotion fulfillment such as sweepstakes prizes, staff and member incentive premiums, maintaining inventory, tracking and disbursement of promotional items and incentives. Schedules branch visits, as needed, to setup materials or deliver promotional items in support of digital promotions. Assists with the preparation and internal distribution of all Digital Solutions materials. 
  11. Manages and monitors functionality of all of the electronic equipment (printers, faxes, copiers, scanners) in the Digital Solutions area; seeks technical support for trouble shooting if operational needs exceed individual knowledge.
  12. Assists with or facilitates and plans assigned internal special events, including assessing and ordering supplies needed, coordinating delivery and setup, scheduling additional help from internal or external resources, coordinating assistance from third party vendors, assisting with setup and cleanup as needed. Coordinates with caterer, as needed, to arrange for appropriate menu for special events. 
  13. Assists with testing of new and current digital products or enhancements, following test scripts, providing feedback and noting difficulties and bugs.
  14. Serves as a back-up for Digital Solutions content management system and administrative back-end platforms.
  15. Stays abreast of digital product offerings and options, making recommendations to management for expanding offerings and/or opportunities.
  16. Manages department email inboxes and calendar, department electronics/mobile devices and is responsible for managing sign-out sheet and secure storage.
  17. Assists with proofreading internal communications for digital product launches or updates for employees. Ability to create new and update existing product knowledge and self-service guides for internal and external use.
  18. Maintains effective communication with Credit Union staff to ensure coordination and exchange of information for accomplishing Credit Union goals.
  19. Maintains and demonstrates strong knowledge of Credit Union functions and how they interact with each other and other departments. Assists in the coordination and support of inter-departmental processes and projects to ensure workflow is effective and deadlines met. Recommends improvements and enhancements to administrative processes and resolves problems by analyzing information and communicating solutions.
  20. Performs other related duties as assigned.

REQUIRED QUALIFICATIONS:

  • Two-year degree in a relevant field (Business Administration preferred) with minimum two years relevant experience supporting staff in a team environment or equivalent combination of education and relevant experience.
  • Experience should demonstrate superior organizational skills and successful experience using various computer software applications including different internet browsers, operating systems, and mobile applications.​

COMPETENCIES:

  • High proficiency with Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and use of LAN, Intranet.
  • High proficiency with Apple iOS and Android devices/software.
  • Familiar with Tower’s Digital products and services. Possess adequate knowledge of these products and services to assist internal staff as necessary.
  • Familiarity of Tower’s core system, operating processes, as well as internal procedures.
  • Strong analytical ability, including the ability to reconcile detailed bills and activity statements, prepare budgets, identify errors, and update weekly digital reports.
  • Ability to create and format word processing and spreadsheet files.
  • Ability to enter data, sort and extract information from database systems.
  • Ability to read, analyze and interpret documents such as financial reports and legal documents.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers,

common fractions and decimal.

  • Ability to apply concepts of percentages and proportions to practical situations.
  • Ability to reconcile and balance transaction records.
  • Ability to author and prepare correspondence, reports and memorandums.
  • Ability to effectively present information to management or present information and respond to questions in one-on-one situations with members or employees.

WORKING CONDITIONS:

  • Routinely performs majority of duties within an office environment using work station and office equipment without ongoing technical assistance.
  • Must be sufficiently mobile to independently conduct site visits to make arrangements and participate in meetings, both on a planned and ad hoc basis.
  • Ability to lift up to 20 lbs. with or without assistance.
  • Ability to work the hours needed which may extend beyond the defined work schedule when operating conditions dictate.
