Description

Complete sales office clerical duties in timely and accurate manner to maintain effective communications with internal and external clients. Answer phones and perform receptionist duties with up to date knowledge of lodge and ski operations. Treat guests and staff in a friendly and professional manner illustrative of Timberline’s “Proud To Be Your Host” motto. 

 ESSENTIAL FUNCTIONS:

• Answer incoming phone in a professional and polite manner.
• Complete word processing and typing projects consistently and accurately.
• Maintain weekly and monthly sales tracking reports.
• Maintain general office and group files.
• Prepare office mail for morning post office pickup and delivery.
• Print and mail conference and wedding packets.
• Distribute complete sets of BEO's each Friday for the following Thursday – Friday to appropriate departments.
• Create and maintain “to-do’s” group list for upcoming BEO runs.
• Send out group surveys.
• Complete weekly supply requisitions; accurately check in stock upon receipt.
• Distribute direct mail campaigns as assigned.
• Ensure office machines are in proper working order.
• Participate in trade shows as requested.
• Distribute change orders as needed.
• Create, print and distribute daily signs.
• Track & collect deposits.
• Track Silcox Hut bookings on monthly calendar.
• Take holiday meal reservations, track deposits, work welcome desk at each holiday meal.
• Maintain clean and tidy office. 
• Actively participate in RLK and Company’s Health & Safety Program by identifying and reporting potential hazards, reporting incidents, and promoting a healthy workplace.
• Exercise stewardship of all RLK and Company facilities and environments, ensuring that efforts are made to reduce, reuse, and recycle when the opportunity is present.
• Present a professional, quality image at all times. 
• Regular and reliable attendance.

Requirements

• Must have basic computer and phone skills.
• Must have excellent customer service skills.
• Must be able to multi task and keep tasks prioritized.
• Must have excellent organizational skills.

PHYSICAL REQUIREMENTS:

• Must be able to work for long periods of time in standing or sitting positions.
• Must be capable of lifting maximum allowable weights of materials, reaching in all directions including overhead, and being flexible in range of motion.
• Must be able to perform functions required to operate all forms of routine office equipment and communications systems.
• Must be able to see and receive color spectrums.
