Role Title: Lead Medical Assistant

Manager: Clinic Manager

Location: Williamsburg

Role Summary: The Lead Medical Assistant works to assist with maintaining efficient patient flow and quality care during clinic hours. Supervise the work and performance of Medical Assistants. 

  • Organizes the Medical Assistant team in Williamsburg to maintain efficiencies in patient flow and quality care during clinic hours. 
  • Performs all the functions of a Medical Assistant and provides coaching and supervision of MA work to promote best practices and collaboration.
  • Acts as the liaison between clinic management and Medical Assistant staff at Williamsburg by keeping managers apprised of team member and process issues.

Responsibilities: 

  • Phlebotomy
  • Documentation of vitals, injection lot & expiration date, point of care testing, and phlebotomy visits
  • Autoclaving disinfecting

  • New space medical assistant training 

Core Lead MA duties:

  • Ask why and probe deeply to understand the reason for the patient's visit. 
      • Ask questions to collect background story -- leaving notes for providers
      • Review health summary with patient, ensure all the info is accurate
      • Take the patient's vitals and record
  • Close the loop and ensure that all follow ups are handled per clinical process and in a timely manner. 
      • Confirm patient current pharmacy preference and update in TiaMD and DrChrono
      • Process any Rx
      • Order Labs
      • Ensure all Dx codes are properly added to lab and imaging orders 
  • Practice Personalized care 
      • Review health records of next day patients every day -- ensure providers are briefed on the patients coming in
      • Remember the nuances of each patient, remind providers of these nuances
      • Work to capture nuances and personal needs of each patient in your time with them to help providers and all Tia care professionals better serve the patient
      • Communicate and document these nuances when appropriate
  • Perform phlebotomy on patients as needed
    • Uphold the clinical guidelines for Phlebotomy

Supervisor specific duties: 

  • Act as a leader by acting as a pack, ensure the team is functioning properly and that the clinic flow is consistently moving steadily, without hectic and confusion. 
      • Ensure each MA understands their role in the broader operations system, and performantly functioning in their role
      • Ensure providers are set up consistently to get what they need to perform
      • Ensure that escalations from MAs are properly addressed and / or escalated to Clinic Manager and Med Director
      • Pick up slack when clinic is busy and team is under pressure to perform in a fast paced environment
      • Train new Medical Assistants
      • Ensure team punctuality and full shift attendance, escalate any call outs to Clinic Manager, and partner to implement schedule adjustment.
      • Encourage ongoing teamwork
  • Ensure excellent outcomes in lab specimen processing, handling, and labeling. 
      • Ensure medical assistants are practicing correct use of tubes, amount of tubes, and labeling.
      • Follow-up with Quest to resolve lab errors the same day / next day.
  • Maintain the order and spotlessness of the clinic
  • Ensure excellence of back-office operations 
    • Send team reminders on Fridays for inventory checks and ordering requests

Tia requires that Medical Assistants complete credentialing with specified payors and that you authorize Tia to complete this credentialing through our preferred vendors.
