Thermal Eng. Corporation is Hiring an Accounting-Administrative Clerk (FT) Near Honolulu, HI

COMPANY DESCRIPTION: Thermal Engineering Corporation (TEC) is a consulting engineering firm specializing in mechanical and fire protection engineering. TEC has experience in the design of air conditioning, ventilation, plumbing, pumps and piping, automatic fire suppression, fire alarm, power generation and heavy industrial systems. Incorporated in Hawaii in 1978, the firm provides a wide range of engineering services including engineering investigations and studies, planning studies, design and construction management services for new and existing facilities. With over 40 years of working in Hawaii, TEC has created a stable and supportive work environment that provides personal and professional growth.
JOB SUMMARY:
  • Incumbent to apply principles of accounting to analyze financial information and perform basic accounting work including performing the day-to-day tasks of account maintenance and cash management, and processing payroll.
  • Performs basic troubleshooting to reconcile general ledger accounts and inquiry to obtain missing information or verify unusual data.
  • Assists with budget preparation and year end reports. 
  • Perform office administration functions and technical assistance to support various engineering and administrative projects for the corporation including filing and organizing documents and records, production/project tasks, and human resources support.
 RESPONSIBILITIES:
  • Processes financial data and prepare reports from the Company’s computerized financial system.
  • Inputs information into financial data bases, computer software systems and manual filing systems. Efficiently uses spreadsheets to enter, compile or extract data.
  • Conducts periodic reconciliations to ensure accuracy and completeness of accounting and related system reports.
  • Processes cash management transactions including cash receipts and disbursements, bank account reconciliations, maintenance of checking and savings accounts, maintenance of ledgers and journal entries.
  • Processes accounts receivables transactions including billing, reconciliation of outstanding accounts and addressing of collection issues. Processes inputs to the billing schedule. 
  • Processes accounts payables transactions including vendor payments, subcontractor payments and reconciliation of accounts payables.
  • Assists in preparation of monthly reports including aged accounts receivable reports, project detail reports (job cost reports), accounts payable reports, P&L statements, balance sheets, and revenue and expense analysis reports.
  • Processes payroll, payroll withholdings, payroll taxes and tax filings, and direct deposit on a biweekly basis.
  • Assists HR department to ensure accurate withholdings for employee benefit contributions, vacation and sick balances. 
  • Assists with providing financial information to CFO and external CPA firms for preparation of annual financial statement and tax returns. Assists with periodic tax related filings and payments.
  • Files accounting paperwork on a daily basis to keep accounting files up to date and accurate.
  • Follows rules and procedures concerning the proper handling of confidential, personal, and highly sensitive information, to include, but not limited to employee records, documents, evaluations, social security numbers, and medical records.
  • Executes special assignments as directed; organizes and gathers requirements; plans, coordinates and schedules; implements and monitors results.
  • Provides general office support including filing and organizing documents and records, production or project tasks, and human resources support.
  • Provides technical support for the use of MS Office and Adobe Acrobat software applications.
  • Perform other duties as assigned by Management. Assist other departments when necessary. 
QUALIFICATIONS:
  • High School diploma or equivalent.
  • General understanding of accounting principles.
  • Ability to apply bookkeeping/accounting practices and procedures.
  • Excellent organizational skills and attention to detail.
  • Excellent written and verbal communication skills and ability to interact with all levels of management and personnel.
  • Possesses excellent verbal, written, and organizational skills along with a proven ability to work independently and under pressure. Adapts well to changes in work tempo. 
  • Ability to follow verbal and written instructions.
  • Effective time management skills to complete various tasks from different managers, within stated deadlines.
  • Ability to enter data accurately and efficiently into computer software and systems.
  • Good math and analytical skills.
  • Excellent computer and Microsoft Office Suite skills (mainly Word, Excel, Outlook).
  • Excellent skill with Adobe Acrobat or Bluebeam Revu.
  • Ability to type at least 40 words per minute.
  • Must be able to pass background check (which includes criminal history, credit screening, education and employment verification) and drug screening.
  • At any time during the course of employment, employee may be required to undergo credit and drug screening.
  • Must be able to obtain US military security clearance.
  • Driving is required. Must have valid driver’s license.
PHYSICAL REQUIREMENTS:
  • Prolonged periods sitting at a desk and working on a computer.
  • Regular standing, walking, stooping, kneeling, and reaching above/below the shoulders.
  • Occasional use of a step ladder.
  • Frequently lifts and moves up to 10 lbs. and occasionally lifts and moves up to 40 lbs. (e.g., banker boxes).
