Job Description:

This role provides professional administrative support as well as financial and grant management for the Tom Love Innovation Hub with a special focus on supporting the Oklahoma Biotech Startup Programs in Oklahoma City. This position requires knowledge and training in the applications of generally accepted accounting principles. A strong business background, organization, flexibility, multi-tasking, and professionalism will be the qualities desirable for this important role.

Primary Roles & Responsibilities:

  • Supports financial and management activities, including accounting, financial analysis, and payroll, by coordinating with Shared Business Services.
  • Preparing and sending monthly financial reports to departmental administration to include financial commitments and projections for grant and contract projects.
  • Actively monitors department finances and creates reports to balance financial statement transactions to source documents such as accounts payable transactions, deposits, and inter-university transactions.
  • Prepares cost and budget transfers for departmental accounts such as purchases, travel, policies and procedures, billing, invoices, reimbursements, and other departmental support.
  • Uses analytical skills to regularly review transactions and account balances for inconsistencies or potential issues. Research inconsistencies and conducts follow-up investigations or consults with appropriate personnel.
  • Assists with the development, implementation, and interpretation of policies and procedures, ensuring compliance with federal, state and university policies and regulations.
  • Oversees records maintenance (inventory, personnel, office files, etc.).
  • Manages approval process for payroll, leave accounting/reporting, and other financial matters.
  • Coordinates with contractors, vendors, subcontractors, and grantees.
  • Provides administrative support for I-Hub facilities including room reservations.
  • Performs various duties as needed to successfully fulfill the function of the position

Job Requirements:

Required Education:

  • Bachelor's degree in Accounting, Finance, Business, Management, or related field.

Equivalency Substitution:

  • Will accept 48 months of related experience in lieu of the Bachelor's degree.

Skills:

  • Ability to solve accounting and related problems
  • Ability to work both independently and on a team
  • Excellent organizational, problem-solving, and communication skills
  • Knowledge of standard bookkeeping and accounting procedure
  • Proficient in Microsoft Office Suite (Outlook, Excel, and Word)
  • Excellent interpersonal skills
  • Ability to complete tasks in an efficient and timely manner
  • Must be detail oriented for accuracy of data and information
  • Highly organized and able to handle multiple projects and deadlines, and self-motivated
  • Able to communicate well and build rapport quickly with students, faculty, and staff
  • Advanced computer skills with wide knowledge of business software.
  • Participates in special projects or assignments requiring initiative, independent action and specialized knowledge or expertise.
  • Performs various duties as needed to successfully fulfill the function of the position.
  • Demonstrate curiosity, creativity, drive for excellence and attention to detail
  • Possess confidence, patience and flexibility in a rapidly evolving environment
  • Highly receptive to feedback and coaching
  • Ability to multi-task and prioritize multiple projects, often with shifting priorities and requiring collaboration across many departments

Advertised Physical Requirements:

  • Sit for prolonged periods. Communicate effectively and listen. Ability to engage in repetitive motion.
  • Standard office environment.

Departmental Preferences:

  • 36 months of office management, financial management, or related experience
  • Administrative and financial experience in a nonprofit, educational or entrepreneurial organization highly desired.
  • PeopleSoft experience
