Essential Functions

Enrollment Services Associate I/II
Job Summary
Provides intermediate skills and knowledge for a variety of administrative, technical and/or processing duties or specialized activities for various enrollment services units. Responsible for processing a variety of documents and/or processes and interpreting the rules and needs of students for various enrollment services units.
Enrollment Services Associate I
Core Responsibilities
  1. Assists with processing paperwork for various enrollment units that may include admissions applications, transcript processing, financial aid document/paperwork, registration, residency status, NCAA eligibility documentation, enrollment, graduation, or other enrollment eligibility and/or needs.
  2. Assists with counseling students on various enrollment issues that may include admissions eligibility, NCAA eligibility, residency status, veteran's certification, enrollment and/or registration, or financial aid eligibility, or other related enrollment eligibility and/or needs.
  3. Maintains records as needed for all enrollment services units.
  4. Assists with evaluations to reach a determination and answers inquiries from other areas on campus as needed for all enrollment services units.
  5. Assists with document intake, imaging, and indexing for all enrollment services units.
  6. Performs other duties as assigned for enrollment services units.
Periodic:
  1. Participates in committees and/or conferences and meetings.
Enrollment Services Associate II
Core Responsibilities

  3. Maintains records, gathers data, and prepares reports as needed for all enrollment services units.
  4. Performs complex evaluations and consults with individuals involved in reaching a determination and answers inquiries from other areas on campus as needed for all enrollment services units.
  5. Assists with document intake, imaging, and indexing for all enrollment services units.
  6. Performs other duties as assigned for enrollment services units.
Periodic:
  1. Participates in committees and/or conferences/meetings.
Enrollment Services III
Job Summary
Performs highly responsible and varied administrative, technical and/or processing duties or specialized activities for various enrollment services units. Responsible for processing a variety of documents or serving as a point of contact for students for financial aid, undergraduate admissions, registrar and/or one-stop enrollment center and
may supervise one or more Enrollment Services Associate I or II or student employees.
Core Responsibilities
  1. Supervises full-time and/or part-time and/or student staff either directly or indirectly. Provide feedback and assists the Assistant/Associate Director with performance evaluations and one-on-ones and/or disciplinary procedures. Observes performance and assists with development plans and serves as a mentor for team members.
  2. Coordinates processing for various enrollment units that may include admissions applications, transcript processing, financial aid document/paperwork, registration, residency status, NCAA eligibility documentation, enrollment, graduation, or other enrollment eligibility or needs.
  3. Solves complex evaluations for all enrollment services units. Counsels and communicates with students on various enrollment issues that may include admissions eligibility, NCAA eligibility, residency status, enrollment and/or registration, or financial aid eligibility, or other enrollment eligibility or needs.
  4. Assists with developing processes and procedures for all enrollment units.
  5. Assists Associate/Assistant Directors with organizing and implementing new programs, preparing program information for dissemination, marketing programs to target audiences, and identifying program weaknesses.
  6. Maintains records, gathers data, and prepares reports as required.
  7. Coordinates document intake, imaging, and indexing for enrollment units.
  8. Interacts with university departments, student groups, and external agencies as needed.
  9. Participates in committees and/or conferences/meetings.
  10. Promotes safety and environmental protection by immediately reporting unsafe situations, spills, and accidents; following University safety plans/procedures/protocols; and participating in appropriate safety training.
  11. Performs other duties as assigned.
Required Qualifications
Enrollment Services Associate I
  • High school or GED.
  • One (1) year of full-time equivalent experience in enrollment management/services, data entry, customer service, student service, and paperwork processing.
  • Bachelor's degree may substitute for the experience.
  • Standard office equipment; Microsoft Office.
  • Demonstrated organizational, written, and verbal communication skills; interpersonal skills.
  • Ability to multi-task and work cooperatively with others.
Enrollment Services Associate II
  • High school or GED.
  • Two (2) years of full-time equivalent experience in enrollment management/services, data entry, customer service, student service, and paperwork processing.
  • Bachelor's degree with one (1) year of the above experience may substitute.
  • Standard office equipment; Microsoft Office.
  • Demonstrated organizational, written, and verbal communication skills; interpersonal skills.
  • Ability to multi-task and work cooperatively with others.
Enrollment Services Associate III
  • High school graduate or equivalent.
  • Three (3) years of full-time equivalent experience in enrollment management/services, customer service, student services, clerical, or data entry.
  • Bachelor's degree with one (1) year of the above experience may substitute.
  • Standard office equipment; proficient in Microsoft Office Suite.
  • Demonstrated organizational, written, and verbal communication skills.
  • Excellent interpersonal and organizational skills.
  • Ability to multi-task and work cooperatively with others.
Preferred Qualifications
Enrollment Services Associate I
  • Bachelor's degree from an accredited university.
  • One (1) year in higher education.
Enrollment Services Associate II
  • Bachelor's degree from an accredited university.
  • One (1) year of higher education experience in processing and/or customer service.
Enrollment Services Associate III
  • Three (3) years of higher education experience in enrollment management/services.
Additional Information
  • This is a part-time, temporary, non-benefits eligible position that is contingent upon funding and department need.
  • UTSA is a tobacco free campus.
  • This is a security sensitive position. Employment is contingent upon a successful background check.
  • Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.
  • Valid driver's license and Motor Vehicle Record (MVR) as applicable.
Working Conditions
  • Employee must be able to provide their own equipment (laptop or desktop).

  • Occasional after-hours and weekend work or overtime may be required.
Physical Demands:
  • Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally.
  • Exerts up to 10 lbs. of force occasionally.
This position primarily works remotely in Texas but may work on campus on an infrequent basis (approximately four days or less per month). When an employee is required to work on campus, travel and parking expenses are the employee's responsibility. Applicants must be adaptable and open to working in both environments.
