Pay Grade/Pay Range: Minimum: $18.32 - Midpoint: $21.97 (Hourly N4)

Department/Organization: 750701 - UA Cyber Institute

Normal Work Schedule: Monday - Friday 8:00am to 4:45pm

Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.

Additional Department Summary: Will work independently and exercise discretion and judgement to support the Executive Director and the Alabama Cyber Institute to meet the Institute's strategic goals.
Activities include, but are not limited to: Overseeing the daily activities of the Executive Director's office and the daily operations of the Institute. Collecting and managing materials, data, and information, some confidential and sensitive. Preparing documents, presentations, and reports. Developing and executing lab and office space management plans. Managing Alabama Cyber Institute spaces, including serving as a Building Rep. Planning and executing meetings, events, conferences, etc. Maintaining accurate financial records.

Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate's degree or higher.

Skills and Knowledge: Exceptional written and verbal communication skills. Accounting skills and the ability to organize work, processes, and time efficiently and effectively. Proficient computer skills to include word processing, spreadsheets, and database applications. Ability to work effectively in a technical team environment and with a diverse population. The ability to manage all administrative and operational matters in an office environment.

Preferred Qualifications: Relevant UA experience and advanced knowledge of UA administrative software applications such as Concur, BuyBama, Banner, TouchNet, MyEverest, etc. Experience in the establishment and development of a university research institute.
