Salary: $35,360 Annual Salary. We are paid on a monthly basis.
Description:
This Executive Legal Assistant position serves the State Attorney, Chief Assistant State Attorney, and the Executive Director. The primary duties are those associated with assisting the Executive Director. This position also supports other staff members of the Executive and Administrative Divisions. This position requires a high level of confidentiality, the ability to multitask and prioritize in a fast-paced environment. This requires the ability to work independently as well as with other staff, divisions, and offices on varied projects. Must be able to perform general secretarial duties, administrative tasks, and executive level correspondence. A working knowledge of office policy and procedures is needed.
A normal workday may include preparing correspondence and contracts, coordinating & scheduling meetings (conference calls, events), preparing materials and reports for meetings, answering incoming calls, assisting Executive Staff visitors, processing legal applicants (law students seeking internships and post graduate applicants seeking permanent employment). Organizing various functions such as Awards Committee, parking recognition program, various administrative contracts. Communicating with law schools for participation in Career Fairs, on-campus recruiting, and resume collections.
The ability to use Microsoft Word, Excel, BOMS (Business Office Management System) and PowerPoint is needed. MS Word projects often require mail merges (Access databases and Excel spreadsheets). Excel spreadsheets are used for creating tables and charts for tracking purposes as well as projects utilizing formulas and special formatting codes for financial reports. PowerPoint presentations are often used as training tools and presentations throughout the circuit.

A high school diploma or equivalency and three (3) years of progressively responsible secretarial or administrative experience. Additional education may be substituted for experience on a year-to-year basis.
