Executive Assistant needed for a top-ranking Real Estate Team in the Doylestown area. With the help of this individual, the lead agent is hoping to focus more on selling Real Estate and much less on the back-end/daily administrative tasks. We are looking for an exceptional candidate who is willing to go above and beyond - just like other members of this team.

The ideal candidate will possess a background in Real Estate; however, this is not a requirement. The candidate should have a proven track record of creating and implementing systems and procedures in an office atmosphere. This person will have a strong sense of urgency and must enjoy "to-do lists". The ideal candidate will work well with minimal supervision, gradually taking on more responsibility and leadership within the team.

Compensation:

  • Salary Range: $45,000 - $55,000
  • Paid Time Off (PTO)
  • Stipend Benefits
  • Bonuses - Considered after a 60-day period

Responsibilities

  • Assisting and supporting the owner in all business and personal areas needing assistance.
  • Oversee all contracts through closing; be the first point of contact in handling customer inquiries or complaints.
  • Build, implement, & manage all systems for sellers, buyers, lead generation, information management, & back-office support.
  • Maintain an operations manual that documents all systems & standards; Maintain team calendar & appointments.
  • Responsible for hiring, training, consulting, & holding accountable all additional administrative team members; Coordinate the purchase, installation, & maintenance of all office equipment.
  • Maintain social media accounts on various platforms with posts & engagement, actively growing our following.
  • Responsible for all financial systems, including paying the bills, assuring the collection of commissions, maintaining the budget, & communicating with team’s Bookkeeper.
  • Providing timely & top-notch communication to clients; Setting appointments with contractors, municipalities, title companies, lenders, & co-op Realtors; Interact with Lead Agent & other team members (daily).
  • Provide exceptional service to clients at a high level, anticipating all of the owner's needs, and staying one step ahead.
  • Act as an integrator, bringing the owner's ideas to life.
  • Assist with lead management and marketing of listings, business, and the team through social media and other avenues.
  • Screening and directing phone calls; distributing correspondence.
  • Handling requests and queries appropriately.
  • Producing reports, presentations and briefs.
  • Assisting and supporting team members with whatever they need.
  • Managing day-to-day office operations.
  • This person will LOVE checklists and "to do" lists and will love paperwork.
Qualifications

  • Outstanding organization.
  • Strong attention to detail.
  • Tech savvy; up-to-date with the latest office gadgets and applications and able to navigate new systems quickly.
  • Able to multitask and prioritize daily workload - can work on multiple projects at once.
  • Able to work independently to support a team and appropriately manage time.
  • Effective interpersonal skills, including superior oral and written communication skills.
  • Strong problem-solving abilities.
  • Discretion and confidentiality.
  • Customer service focus.
  • College degree and social media experience preferred.
  • Candidate will need to be willing to obtain a real estate license upon hiring (Agent will reimburse)
  • Comfortable handling strong personalities.
  • Must be thorough and LOVE to-do lists.
  • This person must have a CAN and WILL DO attitude. This person will do anything and everything they need to in order to free their Agents up to sell.
Compensation
$45,000-$55,000
